Role: Marketing & Operations Assistant to VP

 

Location: Carmel, IN (100% On-Site)

Type: Full-time
 

We’re looking for a Marketing & Operations Assistant to the VP who wants to build a long-term career in marketing and operations leadership.

 

This is a hybrid-function role (marketing + operations + executive assistant):
 

  • ~50% Marketing & Growth (digital + local)
  • ~25–35% Operations & Company Support
  • ~15–25% Executive & Personal Assistant support to the VP
     

The position is designed for a marketing-focused professional who wants to grow into Marketing Manager or even Operations/General Manager. Over time, as you take on more responsibility and drive results, there is long-term earning potential that can exceed $200,000/year in senior roles.
 

You’ll be hands-on with day-to-day execution while helping us build the systems and foundations for growth.

What You’ll Do

 

Marketing & Growth (≈ 50%)
 

  • Plan, build, and schedule email marketing campaigns to past clients, leads, and referral partners
  • Help create simple automations and follow-up sequences
  • Optimize and maintain our Google Business Profile
  • Post consistent content across:
    • Facebook, Instagram, TikTok, Pinterest, X/Twitter, Threads, YouTube

  •  
  • Publish YouTube Shorts and long-form content on a regular cadence
  • Perform basic video editing for job-site clips, testimonials, and educational content
  • Use content scheduling tools to repurpose and bulk-schedule posts
  • Leverage AI tools (e.g., ChatGPT) to:
    • Draft and refine posts, emails, and landing page copy
    • Generate campaign ideas and content outlines
    • Help create SOP drafts, checklists, and internal documents

  •  
  • Support affiliate & partnership marketing:
    • Find places to get us posted or featured (local blogs, podcasts, digital magazines, neighborhood groups, trade partners, etc.)
    • Participate in efforts tied to financial incentives for qualified referrals and successful partnerships

  •  
  • Help manage and optimize paid ads (Google, social platforms)
  • Coordinate website updates (service pages, landing pages, blogs, photos, forms) and collaborate with any web/SEO partners
  • Actively request and collect testimonials (reviews, short videos, before/after stories) and ensure they are showcased


 

Operations & Company Support (≈ 25–35%)

 

  • Help keep jobs, leads, and tasks organized for the VP and team
  • Update CRM and project tracking tools
  • Maintain status boards for leads, inspections, estimates, and active jobs
  • Coordinate communication with:
    • Internal team members
    • Subcontractors/crews
    • Vendors and suppliers

  •  
  • Assist in creating and documenting SOPs (checklists and repeatable processes for sales, marketing, and operations)
  • Help monitor key business metrics, including:
    • Weekly/monthly sales
    • Job progress and timelines
    • Collections and customer feedback

  • Support basic hiring and HR tasks (posting roles, screening applicants, scheduling interviews, helping with onboarding)


 

Executive & Personal Assistant Support to VP (≈ 15–25%)
 

  • Work closely with the VP to:
    • Prioritize daily and weekly tasks
    • Maintain and protect the calendar (meetings, calls, focus blocks)
    • Prepare short summaries and action lists after key meetings

  • Act as a direct support and right hand to the VP for follow-through and organization
  • Occasionally assist with logistical/personal tasks that support the VP’s productivity (organizing documents, filing, light travel coordination)


 

Qualifications

 

Education & Experience

 

  • Bachelor’s degree (or in final year) in Marketing, Communications, Business, or related field preferred
  • 0–3+ years of experience in:
    • Marketing coordination, digital marketing, social media, or content creation
    • Operations, admin, or assistant work is a plus

  •  
  • Internships, campus positions, or project experience in marketing/communications are welcomed
  • Experience in roofing, construction, or home services is a bonus, not required

 

 

Skills & Competencies
 

  • Comfortable with:
    • Major social platforms (Facebook, Instagram, TikTok, Pinterest, X/Twitter, Threads, YouTube)
    • Basic video editing and simple graphic tools (or willing to learn)
    • Email marketing tools and basic list management

  • Proficient using AI tools (e.g., ChatGPT or similar) for professional tasks, such as:
    • Drafting and polishing social posts, emails, and simple web copy
    • Researching topics and summarizing information
    • Creating outlines, checklists, and draft SOPs

  •  
  • Strong writing and communication skills
  • Highly organized and detail-oriented; able to manage multiple moving pieces and deadlines
  • Comfortable with Google Workspace / Microsoft Office and open to learning CRM/project management tools
