Job Overview
Our Client Intake Team plays a central role as the first point of contact for prospective clients. This team professionally handles new inquiries, identifies each client’s needs, and connects them with the appropriate attorney for further consultation.
We are seeking a driven and detail-oriented Intake Specialist who is passionate about helping clients and contributing to the growth of a fast-expanding international firm.
Key Responsibilities
1. Client Communication and Screening
- Respond to prospective clients by phone/online and conduct preliminary screening to determine case eligibility and urgency.
- Explain next steps clearly and schedule consultations with the appropriate attorney.
- Handle inbound calls and make outbound follow-up calls as needed.
2. Document and Intake System Management
- Gather and organize intake notes and prepare preliminary case materials to support attorneys.
- Maintain accurate and well-structured documentation to ensure smooth case handoffs.
3. Data Management and Analysis
- Track inquiry trends and assist in identifying recurring client needs or patterns that support marketing and operational decisions.
4. Calendar and Workflow Coordination
- Manage attorney consultation calendars and coordinate appointments.
- Communicate efficiently with attorneys and staff to ensure timely follow-through on all inquiries.

- Strong attention to detail especially in documentation.
Preferred Qualifications
- Bachelor’s degree preferably in communications, business administration, psychology, law or a related field.
- Experience handling inbound customer calls.
- Prior customer service or client-facing experience.
- Background or interest in legal services.
- Experience with CRM or intake software is a plus.
- Multilingual ability is highly valued.
