POSITION PROFILE for Director of Client Services/Performance & Portfolio Specialist

I. SUMMARY:
The Director of Client Services/Performance and Portfolio Specialist is an integral part of the firm and interacts regularly with the Investing, Marketing, Operations, and Compliance teams. This position will be asked to perform various functions including but not limited to: participating in and coordinating meetings with Investing teams and external clients, brokers, custodians, etc.;. ensuring accurate and timely preparation and distribution of contractual reporting requirements; updating and maintaining composites; performing GIPS audits and monitoring new requirements and recommendations; assisting with data verification in marketing materials; participating in quarterly and annual compliance activities.
Ideal Candidate will have the following skills: Detail oriented, ability to multi-task and prioritize job responsibilities, knowledge of the stock market and investment management, Proficient in Excel, Word and Adobe Acrobat. Willing to learn other systems (Indata, CRM). Ability to think quickly and make timely and correct decisions. Must be a team player and also be able to work independently when needed.
II. EXPERIENCE: Bachelor’s Degree in Finance, Accounting, or related field (will consider intern-to-permanent opportunities for students within a year of graduating)
III. REPORTING TO: Sudhir Warrier
Position will work closely with existing Investing, Trading, Portfolio Administration, Compliance, Marketing, and Accounting teams.
Primary contacts outside Renaissance necessary to perform job: Clients, Custodians, Brokers, Affiliate companies
IV. RESPONSIBILITIES:
A. CLIENT SERVICES:
Meetings:
Coordinate and participate in all calls/meetings with our investment teams and clients/prospects, setting up Zoom links, ensuring materials are prepared and sent beforehand. Work with our affiliate marketing partner, coordinating calls/meetings with our brokerage firm sponsors as well as their financial advisors ensuring appropriate materials are provided. Create CRM notes of all calls with participants and a brief overview of the call.
Mailings:
Send out all client contractual reporting requirements – Annual ADV mailings, updated policies and procedures, insurance policy renewals, etc. Work with the Portfolio Administration team during the quarterly appraisal cycles updating templates, verifying data, and assisting in the timely delivery of client reports.
Coordinate the annual firm Christmas candy and card mailing – ordering cards and candy bars, developing mailing lists based on advisors AUM.
Portfolio Monitoring:
Work closely with the Portfolio Administration department who are responsible for the day-to-day administration of all client portfolios, keeping abreast of open/closed accounts, significant cash flows, corporate actions affecting the portfolios, portfolio changes (i.e. swaps), client or advisors’ requests, and the basic processes managed by the team. Send quarterly Master account reviews to the Portfolio Manager and coordinate changes with the PA team.
B. PERFORMANCE AND PORTFOLIO:
Become familiar with all the firm strategies, gaining a basic understanding of the philosophy, investment process, fundamental analysis, characteristics, holdings, performance, etc. of each product. Generate swaps for all strategies.
Update and manage the firms’ composites, ensuring proper inclusion/exclusion of accounts, monitoring performance deviations, confirming composites and benchmark performance for reporting purposes.
C. GIPS AUDIT:
Conduct GIPS audits and stay abreast of changes to GIPS requirements and recommendations.
D. MARKETING:
Work with the Marketing team during the quarterly appraisal cycles updating templates, verifying data, and assisting in the timely delivery of client reports. Responsible for pulling all statistical data from our research database and updating our internal intranet for use in updating quarterly marketing materials as well as a source of information for the investment teams.
Complete all DDQs/RFIs, coordinating responses from team members and meeting all deadlines.
E. COMPLIANCE:
Serve as a member of the Compliance team, participating in discussions regarding policies and procedures, changes to the ADV, quarterly proxy reviews and any additional projects as they arise.
Provide AUM and Cash Flow data to Accounting department as needed for monthly, quarterly, and ad hoc reporting.
F. OTHER TASKS
Assignment of other tasks as needed by other departments. This may include reviewing marketing and compliance materials, helping to complete various audit reports, etc.
