Human Resources Assistant

SUMMARY:  The Human Resources Assistant is responsible for facilitating all key HR functions and process at all business locations.  The Human Resources Assistant will have oversight of personnel files, assist in the hiring process, maintenance of training and policy manuals, separations, on-boarding of new employees, addressing employee human resources issues, and assisting with exit interviews and employee exit procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Leverage existing and new resources (job boards, social media, etc.) to identify and source talent using best practices, agency tools, and methodologies.

  • Review and analyze resumes in search for the candidates who best qualify for open positions.
  • Conduct phone screening/regular interviews using standard techniques.
  • Work with and advise management on hiring decisions.
  • Send out, complete, and scan all new hire paperwork for new employees.
  • Facilitates employee new hire training. 
  • Assists with issuing Forms 1095 to employees annually by the due date.
  • Assists with the terminations process.
  • Facilitates and documents the 6-month and annual performance review process.
  • Tracks and maintains data on the maintenance of TrueNorth’s fleet of vehicles. 
  • Assist with the upkeep and maintenance of the staff training manual, benefits guide, and personnel policies.
  • Orients new employees by providing staff training manuals, reviewing company policies, gathering withholding and other payroll information, explaining and obtaining signatures for benefits programs.
  • Assists with the I9/E-Verify process and background check screening process.
  • Assists in the administration of administrative HR functions, including creating offer letters, completing verification of employment, maintaining I-9 records, recruiting, discipline, and new hire processes
  • Maintain personnel files in compliance with applicable legal requirements and with total confidentiality including preparing new employee files, filing papers and documents, auditing files for completeness, moving terminated employee files to storage and eventual destruction.
  • Prepare internal and external correspondence.
  • Strictly enforce the privacy and confidentiality of employees and limit requests for information about such employees in accordance with policies.
  • Keep employee records up-date by processing employee status changes in a timely fashion.
  • Record new hires, transfers, terminations, changes in job classifications and pay increases in the appropriate database(s).
  • Conduct exit interviews as required.
  • Maintain applicant resumes as required by agency policies.
  • Answer employee requests and questions
  • Assist with managing annual open enrollment meetings each year.
  • Make recommendations for changes to manuals, guides and policies in accordance with new and/or changing legal requirements.
  • Maintain regular and consistent attendance and punctuality.
  • Other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES: There are no supervisory responsibilities with this position.

  • Proven ability to work effectively in a dynamic, fast-paced, multi-tasking environment.
  • Ability to effectively use technology supporting TrueNorth HR functions, including, Microsoft Word, Microsoft Excel, Windows File System, Google, Financial Edge, Paycor, E-Verify and Employee Navigator.
  • Strong oral and written communication skills.
  • Ability to maintain confidentiality.
  • Considerable ability to exercise independent judgment and initiative in analyzing problems and recommending appropriate solutions.
  • Ability to work alone on a broad variety of projects.
  • Familiarity with and the ability to complete the Form-I9.
  • Familiarity with FLSA and related state and federal regulations. 
  • Considerable ability to establish and maintain effective working relationships with administrators, employees, and community agencies.
  • Considerable ability to explain policies and procedures to employees and community members.
  • Ability to exercise discretion and judgment to make independent decisions when working with other organizations in the community.
  • Basic understanding of the 1095 process.
  • Excellent organizational skills.

 

EDUCATION and/or EXPERIENCE:  An associate’s degree in the field of business, human resources, or an equivalent combination of education and experience is preferred.
