Administrative/Natural Resources Program Assistant
Jamestown S’Klallam Tribe is seeking a dependable and customer-focused Administrative/Natural Resources Program Assistant to support the orderly operation of our front office and provide key administrative and regulatory services to Tribal citizens. This position is responsible for greeting visitors, answering phones, and ensuring a welcoming, professional environment while supporting both administrative and Natural Resources functions.
The Program Assistant performs a variety of clerical, administrative, data processing, and regulatory tasks. This role provides information and services related to Tribal fishing and gathering practices, issues Tribal fishing and hunting identification cards, manages harvest accounting records, and coordinates harvest management activities with staff and PNPTC. The position also provides backup support for the Executive Assistant to the Tribal Chairman/CEO as needed.
Essential Duties & Responsibilities
Serve as the primary front office support and official greeter, ensuring professional communication with Tribal citizens, government agencies, and the public.
Maintain office supplies, monitor inventory, and coordinate with vendors.
Deliver files or reports to other departments or organizations as needed.
Create, format, and distribute written communications.
Ensure appropriate front desk coverage during breaks or approved leave.
Schedule meetings in the Beach Pavilion, fry shack, and north administrative campus; maintain accurate documentation and resolve scheduling conflicts.
Maintain and distribute the office communication directory.
Support the appearance and cleanliness of shared office spaces, including lobby plants and general housekeeping duties in reception, hallways, and copy room areas.
Sort, stamp, and distribute incoming mail; respond to information requests; manage faxes, bulk mailings, and relabeling of cellular phone bills.
Provide administrative support to department directors, including filing, scanning, data entry, large mailings, purchase order entry in Microix, and business card ordering.
Work with IT staff on phone system operations, including troubleshooting, reporting issues, minor programming, and assisting staff with phone features.
Assist with ongoing departmental projects as assigned.
Provide fisheries and hunting customer service under direction of the Natural Resources Director, including buyer/dealer card management, subsistence cards, commercial stickers, boat tabs, member/relative/spouse cards, and crab pot tags; notify fishers and hunters of openings and regulations.
Organize surplus salmon distribution and notify Tribal citizens.
Organize and take minutes for Natural Resource Committee meetings and other meetings as assigned; fill in for Tribal Council and Business Meetings when needed.
Maintain mailing lists and databases; enter data; format ordinances, reports, and grant proposals; prepare correspondence; file and photocopy.
Requirements
High School Diploma or equivalent required; Associate degree preferred.
Proficient in operating office equipment, including multi-line phone systems, computers, postage meters, and binding/labeling machines.
Demonstrated cultural awareness and sensitivity.
Ability to work cooperatively with staff and greet the public professionally.
Strong organizational skills with the ability to prioritize multiple tasks.
Ability to balance assigned tasks with frequent interruptions.
Excellent verbal and written communication skills; strong interpersonal skills.
Proficiency with Microsoft Office Suite and Microix software.
Preferred Qualifications
Effective time management, decision-making, and problem-solving skills.
Demonstrate initiative, work independently with little supervision.
