Bookstore Manager & Mailroom Supervisor
Position Summary
The Bookstore Manager & Mailroom Supervisor is responsible for the effective daily operation of the Morris College Bookstore and Mailroom. This position ensures high-quality service to students, faculty, staff, and external partners while overseeing inventory management, textbook procurement, financial reporting, and all incoming and outgoing mail processes. The role requires strong organizational, supervisory, and customer service skills, with demonstrated proficiency in the TRS PowerStation 12.0 POS System and The Manager’s Workstation 12.0 Deluxe for point-of-sale operations, inventory control, and advanced reporting functions.
Essential Duties & Responsibilities
Bookstore Operations
- Coordinates with the Academic Dean to develop, implement, and evaluate bookstore policies consistent with the mission and purpose of the College.
- Collaborates with the Academic Dean on ordering textbooks and instructional supplies needed to support academic programs.
- Utilizes TRS PowerStation 12.0 POS System to process sales transactions, manage product data, and monitor daily bookstore operations.
- Uses The Manager’s Workstation 12.0 Deluxe to complete advanced store management functions, including inventory oversight, sales reporting, and system configuration.
- Prepares and submits monthly inventory reports for textbooks and instructional materials; facilitates the return of unsold textbooks to publishers when feasible.
- Prepares daily cash sales reports for the Director of Business Support Services and Personnel.
- Prepares financial reports for the Director of Financial Services and the President, ensuring accuracy, timeliness, and compliance with institutional procedures.
- Maintains accurate bookkeeping records in accordance with college policies and audit standards.
- Operates and manages the central office supply facility, ensuring appropriate stock levels and cost-effective distribution of supplies.
Mailroom Operations
- Overseas and directs all daily mailroom activities.
- Receives, sorts, and distributes all incoming mail and packages to campus departments and personnel.
- Receives, processes, and applies correct postage to all outgoing mail, ensuring timely dispatch.
- Manages the inter-office mail system to support efficient communication and internal workflow across departments.
Supervision
- Supervises, trains, and evaluates student assistants assigned to the bookstore and mailroom.
- Ensures student workers adhere to standards of customer service, confidentiality, and operational excellence.
Other Responsibilities
- Maintains clean, organized, and customer-friendly bookstore and mailroom environments.
- Ensures compliance with institutional, federal, and postal regulations.
- Performs additional duties as assigned by the immediate supervisor.
Qualifications
- Bachelor’s degree preferred; equivalent experience may be considered.
- Experience in retail operations, inventory management, or business services.
- Familiarity with TRS PowerStation 12.0 POS and Manager’s Workstation 12.0 Deluxe systems preferred.
- Strong communication, organizational, and customer service skills.
- Demonstrated ability to supervise staff and student workers effectively.
