Physician Scheduling Coordinator
Job Summary:
The Physician Scheduling Coordinator will develop and manage multi-specialty physician on-call schedules to maximize provider productivity, as well as business operations, and to ensure all shifts are filled in accordance with expected patient volume. This position will help to inform recruiting and staffing efforts by reporting out staffing metrics.
Essential Duties
- Create and manage physician on-call schedules for all specialties and facilities for release 45 days prior to the start of the month. This includes:
- Understanding physician pod structure and site schedules
- Creating schedules according to scheduling policies developed by leadership
- Developing relationships with physicians and learning physician preferences
- Ensuring all physician availability is submitted on time
- Obtaining schedule needs for PRN partner hospitals
- Communicating schedule completion to physicians and partner hospitals
- Timely escalation of barriers to Operations leadership
- Collaborate with the onboarding team to track physician credentialing and onboarding status to determine when it’s appropriate to schedule new team members.
- In conjunction with the Manager, Physician Workforce Planning, monitors program implementations to ensure the schedule for new sites is created for project go-live.
- Manage any schedule changes due to illness or other unforeseen circumstances. Includes updating schedule in Qgenda and communicating change to client, along with phone notification of change.
- Flexibility to work after hours may be necessary to accommodate last-minute changes in physician scheduling or to ensure adequate shift coverage
- Facilitates all aspects of Qgenda scheduling software ensuring new sites and physicians are added in a timely manner, physician skill sets remain up to date, and coordinate with the Qgenda team to ensure algorithms are being maximized.
Education and Required Knowledge
- High School Diploma or other relevant experience
- General Healthcare knowledge
- Past scheduling experience
- Qgenda experience preferred
- Microsoft Office Suite experience required

- Excellent communication skills, both written and verbal – this position will involve significant communication with physicians and partner hospitals
