At Wilhite and Associates Law Firm PC we represent several large, national property management companies and owners in the multi-family housing industry. Our team provides comprehensive legal services in areas including landlord-tenant law, fair housing compliance, leasing, civil litigation, and regulatory matters.

We are seeking a Legal Assistant to support us in delivering efficient, high-quality service to our clients. This position offers the opportunity to work closely with seasoned legal professionals in a dynamic and fast-paced environment. Our hub is an upscale, contemporary professional office in Carmel, a few blocks from City Center. We prefer applicants with short commutes like near Hamilton County.

The firm’s motto is that we “Play to Win” and that “failure is not an option” in our mission to winning. The founder, Jeff Wilhite, built the firm on the foundation of empowering employees to succeed in “playing to win.” We offer comprehensive and continued training to ensure each employee has the tools necessary to fulfill their role, this includes extensive one-on-one training sessions, clear process workflows, and a designated (paid) training period. For more on the firm, view the “Join Our Team” page of our website www.wilhiteassoc.com. Even with three decades of stable substantial growth with major clients, the firm remains its traditional small, nimble, aggressive law firm.

Key Responsibilities

  • Provide direct legal and administrative support to attorneys handling multi-family housing and property management matters.
  • Manage high-volume of cases, including meeting deadlines, detailed and strategic case analysis keeping clients informed, bringing matters to closure.
  • Draft, review, and prepare legal documents, including notices, pleadings, and correspondence.
  • Assist with eviction filings, court scheduling, and coordination with local courts and process servers.
  • Maintain organized digital and physical case files; manage case management systems and deadlines.
  • Communicate professionally with property managers, tenants, courts, and opposing counsel.
  • Conduct legal research on landlord-tenant laws, fair housing regulations, and local ordinances.
  • Prepare exhibits, case summaries, and client reports.
  • Support compliance initiatives and documentation for multiple clients across various jurisdictions.

To say we have a “fast-paced environment” is an understatement. The apartment industry has constant high-volume needs and emergencies. Events at apartments don’t stop when most of the world shuts down. Even beyond minimum requirements of above-average word processing speed and efficiency, a successful candidate needs excellent time management and organizational skills to compress a large volume of challenging tasks into a compressed short amount of time with deadlines. The great news is: The days fly by!

Qualifications

  • Bachelor’s degree strongly preferred.
  • 2+ years of experience as a legal assistant or paralegal preferred.
  • Working knowledge of landlord-tenant law, eviction procedures, and fair housing compliance preferred.
  • Strong communication and organizational skills with attention to detail.
  • Strong interpersonal communication.
  • Ability to manage multiple attorney calendars and client needs simultaneously.
  • Proficiency in Microsoft Office preferred.

While we prefer someone with a bachelor’s degree and with some office experience, neither are required. We will invest to train an intelligent self-starter candidate who has an instinctive “failure is not an option” drive. In addition to written professional training materials and outlines, continual career development involves regular interactive sessions typically at a dry erase board on concepts and procedures. You should not be hesitant in the least because you think your experience or degree is not law related. Neither matter. What does matter is having passion, tenacity and a willingness to learn.

Why Join Us

  • Be part of a respected law firm serving leading property management clients.
  • Competitive compensation and benefits package.
  • Collaborative, supportive team culture.
  • Opportunities for professional growth in real estate and housing law.
