Role Summary
We are seeking a highly organized, dependable Operations & Executive Support Intern to assist with office operations, workplace experience, executive logistics, and internal process support. This role provides hands-on exposure to private equity firm operations while helping ensure that the Director of Operations and Executive Office run smoothly.
This is an in-office role (20–25 hours per week) designed for a student who thrives in a structured, professional environment and enjoys being part of the day-to-day heartbeat of an organization.
Key Responsibilities
Office & Workplace Operations (Weekly, Consistent Workload)
- Maintain a clean, organized, and welcoming office environment
- Restock snacks, beverages, and office supplies
- Manage mail, packages, and FedEx/drop-offs
- Keep conference rooms prepared (notepads, pens, water, tidiness)
- Assist with vendor coordination and office deliveries
- Support facilities-related tasks as needed
These responsibilities provide a steady weekly workload regardless of travel or meeting volume.
Executive Support (Logistics Only — No Calendar Management)
- Research and prepare travel options and itineraries for executives
- Assist with reservations (restaurants, hotels, visitor logistics)
- Prepare meeting materials, binders, and briefing packets
- Organize documents, receipts, and filing
- Run local errands when needed (supplies, print shops, mail)
Culture & Team Engagement
- Maintain monthly celebration calendar (birthdays & anniversaries)
- Assist with planning team lunches, office treats, and small events
- Support annual holiday event logistics
- Prepare welcome items for new employees
Operational Projects & Systems Support
- Update and organize internal SOPs and office process documents
- Assist with onboarding/offboarding materials
- Perform light research on vendors, tools, and best practices
- Support Monday.com workspace organization, file cleanup, and tagging
- Prepare simple templates and checklists for internal use
These tasks ensure productive work even during slower executive weeks.
Qualifications
- Currently enrolled in a college or university (Business, HR, Operations, or related majors preferred)
- Strong organizational skills and attention to detail
- Professional communication and customer-service mindset
- Ability to handle confidential information responsibly
- Proficiency in Microsoft Office
- Reliable, punctual, and comfortable working in a professional office environment
- Positive attitude and willingness to jump in wherever needed
