Virtual Assistant Public Relations Firm

We are seeking a highly organized, thoughtful, and proactive Virtual Assistant to support smooth daily operations, maintain internal systems, and ensure communication workflows run seamlessly across the team. This role is ideal for someone who is a natural systems thinker, detail-oriented, and comfortable managing multiple moving parts with calm clarity.

This role is not administrative busywork. It is about supporting flow across the business so the CEO and creative team remain focused on high-impact work. You will have the opportunity to work on creative projects and suggest new ideas. You’ll work closely with our CEO and collaborate with our copy/PR associate, design team, and upcoming interns. This internship will expand into a job role for the right person. 

Key Responsibilities

Daily + Weekly Operations

Maintain internal project boards (Notion and/or Asana) and ensure tasks are moved through stages.

Track deliverables for client campaigns, launches, and press cycles.

Send gentle follow-ups and check-ins to keep timelines on track.

Prepare weekly internal agenda and ensure team has what they need before meetings.

Handle all weekly reporting, based on internal tracking 

Communication & Coordination

Draft, send, and organize follow-up emails to journalists, clients, and partners as directed.

Light inbox management (flag items that need CEO response; archive/organize the rest).

Coordinate meeting scheduling and Zoom links; maintain call logs when needed.

Content + Asset Organization

Maintain clear naming conventions and folder systems for press kits, client assets, media lists, and blogs.

Upload content to website/blog drafts and prepare posts for final review (no writing required).

Create and share Google Drive press folders when needed.

Light Reporting

Update client dashboards with pitch outcomes, publication links, engagement summaries.

Track blog analytics and monthly metrics (we will train).

  • Loves being the backbone of a team—supporting without needing the spotlight.
  • Moves with calm, grounded energy even when timelines shift.

Bonus (not required):

Experience with PR workflows or agency environments.

Familiarity with: Notion, Trello/Asana, Google Drive, Canva, basic website editing.

Hours + Structure

5-6 hours/week to start, with opportunity to increase to 15–20 hours as we grow.

Flexible schedule, but must be available for one weekly check-in during business hours.

Remote; must be based in the U.S.

Compensation

$500 stipend.
