Assistant to the Directors of Secondary School
The Lycee Francais de Chicago is looking for a temporary Assistant to the Directors of Secondary School, starting April 2026 through August 2026 (dates may be subject to change). This person will be assisting in the department while a team member is on leave.
Position Description
The Assistant to the Directors of Secondary School works under the supervision of the three Directors supervising Secondary School to assist in the planning and facilitation of all programs and processes of the department. They have solid organizational skills, a strong interest in education, and maintain a high degree of responsiveness, professionalism, and discretion.
Primary Responsibilities
- Assist the Directors of the Secondary School in their role (take messages, organize meetings, etc.) and act as a liaison between the Secondary School Directors, parents and teachers
- Manage report card archives
- Assist in the organization of AEFE training sessions that LFC hosts
- Correct, review, and translate Secondary School documents and communications as necessary
- Prepare in-service day meetings and conference days in coordination with other staff members
- Assist the High School Director and High School Vie Scolaire in exam implementation (Bac and IB): collecting and distributing documents to students and families, preparing exam rooms, ordering materials, assisting with scanning and sending of official documents to the Exam Center in DC for the Bac, planning for teacher absences due to exams, etc.
- Create, track and ensure respect for duty rosters
- Helps to plan events in the Secondary School such as Preview Night, DNB Ceremony, Back to School Night etc.
- Serve as secondary school liaison with the maintenance team to help ensure clean, safe spaces for Lycée students and teachers.
- Update Secondary School Google Calendar, Eduka, and Pronote/EDT
- Communicate practical information to parents through the LFC and weekly secondary newsletters, in coordination with the Marketing and Communications team. Gather articles and oversee the writing process while respecting any deadlines
- Submit reimbursements for teachers and staff; Format and gather book and school supplies orders, manage monthly expense reports; handles approved purchases for Secondary School and tracks in Secondary budget sheet
- Prepare biweekly payroll records for all Secondary School substitute teachers and manage the absence records.
- Translate various documents for teachers (forms, e-mails…)
- Preparation and organization of travel plans for teachers’ training and welcoming and assisting new teachers upon arrival.
- Manage the secondary staff meetings, in-services, and department head Meetings, organize class councils, teacher and staff observations, and help organize department advisory visits
- Coordinate, track, and organize teacher absences for the Secondary School, for both classroom learning and school duties. This can include finding substitutes, tracking absences, and organizing makeups for planned and unplanned absences. Communicate with the Vie Scolaire any needs for supervision, duty coverage etc.
- Help organize and coordinate short and long-distance field trips, overnight trips and exchanges, including providing electronic waivers for events and trips; manages workflow via Eduka and schedules prep meetings for chaperones
- Organize punctual in-house training sessions and schedule parent meetings
- Communication and management of course selection
Requirements:
- A minimum of a high school diploma, with a bachelor’s degree preferred
- Some administrative experience, preferably supporting upper-level management, or an equivalent combination of education and experience.
- Native or near-native proficiency in English and French with excellent written and verbal communication skills.
- Demonstrated resourcefulness in solving problems, strong organizational and time management skills, keen attention to detail, strong work ethic, and flexibility.
- Ability to protect confidential information.
- Appreciation of and sensitivity to cultural differences.
- Full proficiency in Microsoft Office and use of general office equipment.
- The ability to navigate Pronote is a plus.
Additional Information
- This is a salaried, full-time, exempt temporary position with benefits, including medical, dental, and vision insurance.
- All prospective employees must be able to clear a background check.
- The salary range is $4,550-$4,750 monthly
- This role requires onsite presence at the school, including direct support, coordination, and follow-up with staff and families
- Occasional evenings and weekends may be required.
