Grant Writing Specialist
Job Summary
The Grant Writing Specialist at Utah Legal Services (ULS) oversees the process and production of all materials related to the grant application process from identifying and proposing grant prospects, to writing proposals and reports, collecting data, budgets, and all relevant documents, to submission. These efforts contribute to the organizational mission of equal access and the provision of ethical, competent legal representation to clients from low income and disadvantaged communities across the state of Utah.
Key Accountabilities
Proposal Preparation and Oversight
- Manage the entire grant proposal process by determining grant coverage and purpose within the organization, gathering and formatting information, writing drafts, and obtaining approvals.
- For each grant opportunity identified, the Grants Specialist will submit a Grant Opportunity Template to ULS’s Executive Director and Administration Director/General Counsel for approval.
- Serving as an expert on individual grant opportunities by ensuring grant submission criteria is thoroughly documented and communicated to necessary contacts within ULS, studying requests for proposal (RFPs) and attending strategy meetings.
- Oversee the development of a grant proposal from start to finish by determining the project scope: including objectives/outcomes/deliverables, timetable, staffing, budget, standards of performance, and evaluation/reporting.
- Identify and collaborate with the ULS staff necessary to complete the grant proposal and ensure compliance with grant terms and reporting.
- Coordinating and suggesting community partners for grants and MOUs for the consideration of the Administration Director/General Counsel
- Maintain quality results by following proposal-writing standards including readability, consistency, tone, and maintaining proposal support databases.
- Meeting proposal deadline by establishing priorities and target dates for information gathering, writing, review, approval, and transmittal.
- Actively researching new grant opportunities that fit within ULS’s mission.
Grant Writing
- Responsibility for researching, writing, compiling, and managing the timeline of all grants including maintenance and oversight of workflow processes and procedures to ensure accurate and efficient collection and timely submission.
- Coordinate reporting and oversight between multiple departments to ensure all activities related to grant data collection and reporting are smoothly implemented.

Data Coordination
- Work with all departments to collect and synthesize data. Oversees grant workflow processes related to data entry to ensure adequate internal controls and that all grant reporting of data is accurate.
- Enter and monitors tracking data to ensure compliance with grant terms
Administrative Duties
- Attend trainings and organizational meetings; complete appropriate CLEs.
- Assist in the preparation of materials for Board meetings.
- Other duties as assigned.
Skills and Abilities
- Demonstrated commitment to working with low-income community and promoting access to civil legal justice.
- Ability to write in a clear, concise manner to clearly communicate purpose and reach various audiences including foundations, donors, and broader general constituencies.
- Effective oral communication skills, ability to present information and represent the organization with community partners and funders.
- Ability to multi-task with attention to detail.
- Excellent organizational skills and ability to prioritize.
- Ability to work independently and in collaboration with others.
- Spanish fluency strongly preferred but not required.
Requirements
- Must be able to pass a Utah Criminal Record background check.
- Minimum of two years related experience. Schooling beyond the minimum requirement can be substituted for experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
Job Factors/Physical Requirements
- Ability to sit for extended periods and perform repetitive tasks, such as typing.
- Some travel required, reliable mode of transportation required.
- This is a full-time exempt position.
Salary: $41,600 - $54,080
