Visual Arts Program Coordinator

Position Summary
We are seeking a detail-oriented and proactive Visual Arts Program Coordinator to support the daily operations of our visual arts program. This role plays a key part in coordinating exhibitions, liaising with artists and committees, and ensuring smooth administrative processes. Ideal candidates thrive in dynamic environments, communicate effectively, and bring a passion for the arts.

Key Responsibilities

  • Manage exhibition calls for entry, coordinate schedules, and oversee logistics for visual arts programming
  • Handle professional correspondence including emails, memos, and reports
  • Liaise with the Visual Arts Committee, managing meeting minutes, calendars, and communications
  • Contribute to special projects, research tasks, and team initiatives
  • Maintain organized digital and physical filing systems for exhibition records and artist materials
  • Assist with expense tracking, invoicing, and basic budget reporting
  • Support visiting curators, artists, and volunteers with administrative and logistical needs
  • Prepare meeting agendas, take minutes, and follow up on action items
  • Assist with the installation and deinstallation of exhibitions throughout the year

Qualifications

  • Proven experience in administrative or office support roles
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) 
  • Excellent organizational, multitasking, and time-management abilities
  • Positive attitude and collaborative spirit
  • Detail-oriented 
  • Self-guided and proactive in managing responsibilities

Preferred Attributes

  • Experience in nonprofit or arts administration
  • Background in visual arts, design, or a related field
  • Working knowledge of Adobe Creative Suite or similar design tools
  • Strong sense of aesthetics and creative problem-solving
  • Familiarity with arts programming and artist networks
  • Ability to manage multiple exhibitions throughout the year
  • Comfort with adapting to new systems and technologies
