Event Coordinator
Position Overview
MS Consulting Firm, on behalf of a valued Chamber of Commerce client, is seeking an Event Coordinator to support the planning and execution of high-impact events that align with the Chamber’s mission and long-term strategic goals.
This role is ideal for a highly organized, detail-driven professional who excels in fast-paced environments and enjoys managing multiple projects simultaneously. The Event Coordinator will play a key role in delivering exceptional experiences for members, sponsors, and the broader community by overseeing event logistics from concept to completion.
The ideal candidate demonstrates strong communication, relationship management, and problem-solving skills, along with the ability to execute leadership strategy with precision and excellence.
Key Responsibilities
- Plan, organize, and execute Chamber events, including monthly programs, signature events, and strategic initiatives outlined in the three-year plan.
- Coordinate all event logistics, including venue selection, catering, A/V, sponsorships, speakers, décor, and onsite operations.
- Develop event timelines, budgets, and checklists to ensure timely execution and smooth delivery.
- Maintain detailed records in the CRM system, including event registrations, sponsor commitments, and attendee engagement (self-training in CRM expected).
- Collaborate with the CEO and team to ensure each event supports the Chamber’s strategic and revenue goals.
- Communicate effectively with sponsors, vendors, and members to ensure satisfaction and partnership continuity.
- Track, measure, and report event KPIs weekly and monthly to the CEO.
- Manage multiple events at various stages of planning simultaneously, staying organized and calm under pressure.
- Provide post-event analysis and feedback for continuous improvement.
Qualifications & Skills
- Minimum 3 years of experience in event planning, coordination, or management (Chamber or nonprofit experience preferred).
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Excellent communication, listening, and interpersonal skills.
- Proven ability to adapt to evolving priorities and execute strategic event plans effectively.
- Comfortable working under pressure and meeting deadlines in a fast-paced environment.
- Self-starter with strong problem-solving skills.
- Proficient in Microsoft Office Suite and CRM systems (self-training required).
- Ability to work flexible hours, including four days in-office and one day facilitating events, with occasional evenings and weekends for major events..
