Activities Coordinator – Jubilee REACH in the Schools
This role is part of the Operations Team that supports Jubilee REACH’s presence across 17 schools in the Bellevue School District (BSD). The Operations Team ensures that our presence in the schools is focused on fostering a sense of belonging and community and supporting the social and emotional well-being of students. The Activities Coordinator collaborates with various departments within Jubilee REACH as well as external partners to support logistics, communication, and consistency for the work of Jubilee REACH in the Schools. This is a full-time role that reports to the Program Director, Jubilee REACH in the Schools, Operations.
Areas of Responsibility
Seasonal Activity Planning & Coordination
Maintain updated activity schedules for each season
Prepare centralized communication templates
Develop game schedules
Track and maintain standing records for each sport
Process weekly game recap reports
Provide facilitation and follow up support for weekly Site Coach Meetings
Send weekly communication to Site Coaches and volunteers throughout the season
Referee Planning & Coordination
Coordinate with various referee associations to cover all games
Serve as the primary contact for referee associations
Supply Preparation & Organization
Prepare and distribute equipment and supplies for activities
Keep current inventory up to date for all Jubilee REACH in the Schools supplies
Maintain organization of the Site Coach Room
Manage supply requests and prepare orders
Onboarding & Training
Provide onboarding training for new staff
Plan and host pre-season trainings for staff and volunteer coaches
Provide additional resources for coaching development upon request
Direct Program Support
Provide coaching support at practices and games as needed
Host an Elementary or Middle School Club (1 season per year)
Coach an Elementary or Middle School Team (at least 1 season per year)
Lead for planning and hosting cross-country meets
General Operations
Create forms and resources as needed
Assist Volunteer Coordinator/Specialist with training and equipping volunteers
Coordinate with partner organizations, as assigned, to provide activity opportunities
Carry out miscellaneous operational tasks (as requested)
Qualifications
Must be 18 years or older
Pass Federal fingerprint and State (WSP) background check and reference check
College degree preferred
A servant’s heart
Minimum of 2 years of experience providing logistical and operations support in a service organization
Demonstrated success and/or training in planning and organizing a variety of engaging activities for groups of elementary and middle school students
Basic sports knowledge and coaching experience preferred
Skills Required
