We’re looking for a Board and Office Operations Manager who can:
- Provide administrative support to the CEO and other members of the Executive Leadership Team (ELT). This position will also support the activities of the Board of Directors for Delta Dental of Illinois, its subsidiaries, and the Dental Advisory Committee.
- Serve as a vital strategic partner to the CEO and the Executive Team, proactively managing and optimizing their workflow, ensuring their time and energy are dedicated to high-level strategic decision-making and leadership. This role extends beyond traditional administrative duties to encompass a broader scope of responsibilities, requiring a deep understanding of business and board operations, strategic decision-making, and leadership dynamics.
- Draft correspondence, presentations, reports, and help format and finalize written materials (e.g. CEO emails to All Staff/BOD, all staff presentations).
- Schedule all BOD and ELT meetings, send and manage all invites. Draft and distribute meeting agendas.
- Collect and post all materials related to ELT meetings including agendas, Action Plan, presentations, and meeting notes etc. Take, record, prepare, and distribute notes for ELT meetings.
- Complete Board and Committee Books accurately and in a timely manner, including but not limited to creating outlines and templates with the CEO/ELT, proactively managing preparatory sessions and meetings to allow CEO/ELT to practice at the top of their roles.
- Serve as the Administrator for the secure Board Portal site, Diligent, and post all materials and resources.
- Take, record, prepare, and distribute minutes of committee meetings of the Board of Director
The ideal candidate will have:
- Three plus years’ experience supporting multiple senior management leaders and handling sensitive/confidential information.
- Bachelor’s degree in communications or office administration, or equivalent preferred.
- Proficient in using electronic communication platforms (e.g. Co-Pilot, AI, Teams, Zoom, video conferencing, project management software etc.)
- High level of proficiency with Microsoft Office® (Word, Excel, PowerPoint, and Outlook); must type 50+ wpm. Extensive experience in electronic calendar management, document management, project management, and communications platforms.
- Must be highly organized, adaptable, and emotionally intelligent individual who anticipates needs, solves problems, and contributes to the Executive team’s effectiveness and overall organizational success.
