Business Administration and Accounting Support Specialist

Overview

Ferguson Pyatt Architects is seeking a detail-oriented, highly motivated Business Administration and Accounting Support Specialist to join our Boulder, Colorado Firm. This role is crucial for maintaining the financial health of our projects and ensuring smooth administrative operations. You will work closely with the Partners and our employees to provide support for general day-to-day office operations, contribute to marketing, and general accounting.

Key Responsibilities

The specialist will be a key member of our finance and administration team, working closely with Project Managers and leadership to manage project finances, streamline billing, and support general business operations.

Accounting and Project Finance

  • Project Setup & Compliance: Enter and review new projects and tasks into our accounting software, verifying the setup aligns with client contracts and internal invoicing requirements.
  • Invoicing & Billing: Prepare, review, and finalize client invoices. This includes collaboration with Project Managers to ensure accuracy and assembling any necessary backup documentation (spreadsheets, expense receipts, etc.). Billing may involve various contract types, including time & material, lump sum, and fixed-unit terms.
  • Accounts Management: Assist with Accounts Payable and Accounts Receivable processes, including monitoring project expenses and assisting the collections department with payment-related inquiries or invoice revisions.
  • Financial Reporting: Generate basic financial reports as requested by Project Managers to help them track the financial health of their projects.
  • Month-End Support: Assist with designated activities related to the month-end close process, including preparing and recording simple journal entries or account reconciliations.
  • Digital Record Keeping: Maintain organized digital filing of invoices, contracts, and financial backup.

Business Administration Support

  • Provide general administrative support to senior leadership and project teams as needed.
  • Contribute support to basic marketing and presentation-related tasks.
  • Allocate expenditures to appropriate accounts per company procedures.
  • Perform other duties as assigned to support the efficiency of the firm.

Qualifications and Skills

Education and Experience

  • A Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field is required.
  • 0–2+ years of experience in project billing or general accounting, preferably within the Architectural, Engineering, or Construction (A/E/C) industry.
  • Prior experience with accounting software (e.g., Monograph, Xero, etc.) is a plus.

Required Skills

  • Proficiency in Microsoft Office Suite, with strong or advanced knowledge of Excel.
  • Strong analytical and mathematical skills with an exceptional attention to detail and commitment to accuracy.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and ability to manage time effectively to meet deadlines.
  • High level of confidentiality and professionalism.
  • Ability to work both independently and collaboratively as a strong team player.
  • Ability to work overtime when required to meet critical deadlines.

Compensation and Benefits

Compensation: $24.00 to $34.00 per hour, depending on experience and qualifications.
