Operations Coordinator

This role is part of the Operations Team that supports Jubilee REACH’s presence across 17 schools in the Bellevue School District (BSD). The Operations Team ensures that our presence in the schools is focused on

fostering a sense of belonging and community and supporting the social and emotional well-being of students. The Operations Coordinator collaborates with various departments within Jubilee REACH as well as external partners to support logistics, communication, and consistency for the work of Jubilee REACH in the Schools. This is a full-time role that reports to the Program Director, Jubilee REACH in the Schools, Operations

 

Areas of Responsibility

Seasonal Activity Planning & Coordination

Coordinate registration for student activities and events

Assist with organizing and ordering activity supplies

Transportation Planning & Coordination

Schedule and order buses for student activities and events

Serve as the primary contact for the BSD Transportation Department

Field & Facility Planning & Coordination

Schedule and reserve fields, gyms, and parks for activities and events

Serve as the primary contact for the BSD Facilities Department and Bellevue City Parks

Onboarding & Training

Provide onboarding training for new staff

Coordinate BSD onboarding steps (e.g., fingerprinting, badge, network access)

Assist with planning and facilitating Site Coach Orientation

Data Administration

Maintain attendance tracking systems

Maintain accurate records of activity participation

Track records of staff and volunteer training completion

Direct Program Support

Provide coaching support at practices and games as needed

Host an Elementary or Middle School Club (1 season per year)

Coach an Elementary or Middle School Team (at least 1 season per year)

Assist with planning and hosting cross-country meets

General Operations

Create forms and resources as needed

Assist the Volunteer Coordinator/Specialist with processing and equipping volunteers

Provide administrative support for Site Coaches (as requested)

Carry out miscellaneous operational tasks (as requested) 

Qualifications 

Must be 18 years or older 

Pass Federal fingerprint and State (WSP) background check and reference check 

College degree preferred 

A servant’s heart

Minimum of 2 years of experience providing logistical and operations support in a service organization

Demonstrated success and/or training in planning and organizing

Basic sports knowledge and coaching experience preferred

 

Skills Required 

Excellent written and oral communications skills

Technology literacy (Outlook, Excel, Word)

Ability to work independently and as a team

Ability to form and grow healthy relationships with internal and external partners

Punctuality and ability to develop timelines and meet deadlines

Flexibility and ability to handle various types of tasks at once
