Administrative Assistant / Front Desk & Social Media

Job Overview:

We are seeking a dynamic, organized, and creative individual to fill the role of Administrative Assistant / Front Desk and Community Manager for our vibrant coworking space. The ideal candidate will be the first point of contact for members and visitors, ensuring a positive and professional experience both in person and online. This multifaceted role combines administrative and community management responsibilities with social media and digital engagement. The right candidate will help foster a thriving in-person community while amplifying our presence across social media platforms to showcase our members, events, and workspace culture.

 

Responsibilities:

Front Desk Operations:

  • Greet and assist members, visitors, and guests in a friendly and professional manner.
  • Manage incoming calls, emails, and inquiries promptly and effectively.
  • Maintain a clean and organized front desk and common area.

 

Administrative Support:

  • Provide general administrative support to management and other team members.
  • Assist in scheduling appointments, managing calendars, and coordinating meetings.
  • Handle mail and package deliveries, ensuring timely distribution.

 

Community Management:

  • Cultivate a positive and inclusive community environment within the coworking space.
  • Organize, promote, and support community events, workshops, and networking opportunities.
  • Address member inquiries and concerns to ensure a high level of satisfaction.
  • Foster connections and collaboration among members through introductions and engagement initiatives.

 

Social Media & Digital Engagement:

  • Create and manage content for the coworking space’s social media accounts (Instagram, LinkedIn, Facebook, etc.).
  • Capture and share photos/videos of daily activities, members, and events to highlight community life.
  • Develop and schedule posts to promote events, partnerships, and member achievements.
  • Respond to comments, messages, and online inquiries in a timely and engaging manner.
  • Track engagement metrics and collaborate with management to improve digital outreach and community growth.

 

Membership Coordination:

  • Assist with membership onboarding, renewals, and terminations.
  • Maintain accurate and up-to-date member records and contact information.
  • Collaborate with the sales team to promote membership plans and upsell additional services.

 

Facility Management:

  • Oversee day-to-day operations, ensuring workspace amenities are well-maintained.
  • Coordinate with maintenance and cleaning staff to address facility issues promptly.

 

Qualifications:

  • Proven experience in administrative, customer service, or community management roles.
  • Strong organizational, creative, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Tech-savvy with proficiency in Google Workspace and social media platforms.
  • Familiarity with coworking or CRM management software is a plus.
  • Basic photo and video editing skills (Canva, CapCut, or similar tools) preferred.
  • Enthusiastic and proactive approach to community building—both in-person and online.
  • Flexible schedule to accommodate occasional evening or weekend events.

 

Education and Experience:

  • High school diploma required; Bachelor’s degree preferred.
  • Previous experience in a coworking space, hospitality, or marketing/social media role is a plus.
  • Bilingual (Spanish/English) is a plus.
