Job Summary/Basic Function:
Responsible for monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
This position will be primarily in-office on campus in Boise, ID.
Department Overview:
Working under the principles of shared governance, Faculty Senate membership shifts from year to year, and involves faculty from the full spectrum of disciplines and position-types at Boise State University. Level Scope:
Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.
Essential Functions:
60% of Time the Faculty Senate Coordinator (Project Coordinator, Associate) must:
• Maintain and monitor project plans, project schedules, work hours, budgets and expenditures.
• Organize, attend and participate in stakeholder meetings.
• Document and follow up on important actions and decisions from meetings.
• Prepare necessary presentation materials for meetings.
• Ensure project deadlines are met.
• Determine project changes.
• Provide administrative support as needed.
• Undertake project tasks as required.
• Develop project strategies.
• Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
• Assess project risks and issues and provide solutions where applicable.
• Ensure stakeholder views are managed towards the best solution.
• Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
• Create a project management calendar for fulfilling each goal and objective.
35% of Time the Faculty Senate Coordinator (Project Coordinator, Associate) must:
• Directly assist the Faculty Senate President and Vice President with drafting Faculty Senate agendas, meeting summaries, and other materials relevant to the Faculty Senate and its associated committees.
• Schedule meetings/rooms and send calendar invites for Faculty Senate meetings, Steering Committee meetings, and other Senate committee meetings.
• Manage and update the Faculty Senate website and CampusGroups site to ensure timely, accurate, and accessible information for faculty, staff, and external stakeholders.
• Attend and assist when necessary at all Faculty Senate meetings and select Senate committee meetings as determined by the Senate President.
• Maintain official records of Faculty Senate actions, policies, and committee work with accuracy, confidentiality, and compliance with university standards, including drafting and publishing meeting summaries at Senate meetings,
• Administer voting procedures, and other tasks during the Senate meetings. This includes documenting official Senate decisions and action items.
• Collect and maintain official records of Faculty Senate actions, policies, and committee work with accuracy, confidentiality, and compliance with university standards.
• Assist president with The Bulletin - the Faculty Senate monthly newsletter.
• Assist Faculty Senate leadership in coordinating efforts between Senate and Academic Leadership and Faculty Affairs.
• Track policies and proposals through the review and approval process; provide updates to the Senate President, Provost's Office, and faculty as needed.
• Draft and maintain official meeting summaries for select senate committees
• Provide logistical and administrative support for Senate-sponsored events, forums, and workshops.
5% of Time the Faculty Senate Coordinator (Project Coordinator, Associate) will:
Perform other duties as assigned.
Knowledge, Skills, Abilities:
• Ability to work on tight deadlines
• Knowledge of Microsoft Office applications such as Word and Excel
• Exceptional verbal, written, and presentation skills
• Knowledge of file management, transcription, and other administrative procedures
Minimum Qualifications:
Bachelor's Degree or equivalent relevant professional experience.
Preferred Qualifications:
5 years of relevant professional experience.
Salary and Benefits:
