Job Description: AP Specialist
Job Summary: Responsible for supporting the Accounts Payable Manager and all duties relative to the Accounts payable vendor payments.
Essential Duties and Responsibilities:
- Process all mail from vendors
- Maintain all files, paper and electronic, related to these.
- Maintain Vendor Master file by processing new vendor numbers and related information, and collect and file any necessary documents such as W-9
- Void and redraw checks when necessary
- Maintain worksheets as needed for accruals and analysis related to all utilities
- Scan documents for electronic filing where necessary
- Assist A/P Manager and related management when needed
- Assist auditors in locating A/P related documents
- Responsible for communicating with company vendors in terms of invoice processing and payment.
- Responsible for maintaining communication with internal parties in the Accounting Department regarding payment status and due dates.
- Engage in full cycle Accounts Payable process.
- Process vendor invoices to ensure accuracy and compliance, reconcile all vendor statements, research and correct discrepancies.
- Proactively follow up with vendors and Materials Management to receive invoices and required supporting documentation.
- Challenge discrepancies and communicate with vendors to ensure a timely resolution.
- Maintain open lines of communication with vendors and other members of the Accounting Department as well as other Department heads.
- Assist with special projects and reporting as needed.
- Assist in process of creating, processing and printing weekly check runs as well as on demand checks when requested
- Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
Requirements:
- High School Diploma or GED required, college courses in accounting preferred.
- 2-5 Years in corporate or business setting, with Accounts Payable Experience
- Outstanding Verbal, Written, Multi-Tasking
- Proficient in Microsoft Office (Strong Analytical skills in Excel)
- Excellent attention to detail
- Works well in a team environment
- Able to work with a diverse group of people
- Must be able to work independently
- Must be a self-starter with the ability to multi-task
- Ability to manage multiple projects and tasks at various stages of development – assist in departmental process improvement initiatives
- Must be able to communicate effectively
Knowledge, Skills:
Must possess strong Microsoft Office experience (Microsoft Excel, Word); strong analytical skills; and strong verbal and written communication skills are integral to success in this position
Salary $60,000.00 t0 70,000.00 based on experience
