                  Salary:                                  $6,339.00 to $7,720.00 Monthly (Range 83)

                  Length of Service:            12 Months/260 Days per Year

POSITION DESCRIPTION

The Administrative Secretary performs senior level, administrative functions to support an Assistant Superintendent and/or the County Superintendent at the County Schools Office.  The Administrative Secretary is responsible for independently administering processes, transactions and administrative details supporting a branch operation. This position interacts with administrators and senior level managers to perform a variety of complex functions while exercising initiative and sound judgment.

 

ESSENTIAL JOB FUNCTIONS

  1. Advises staff, district personnel and others on information related to branch and SBCSS policies, procedures and practices.
  2. Administers processes, transactions and administrative details supporting a branch operation, special projects and events.
  3. Conducts research.
  4. Processes and monitors a variety of fiscal and non-fiscal transactions.
  5. Develops fliers, agendas, presentations, reports, and other materials.
  6. Prepares routine and non-routine correspondence, reports, manuals, minutes, transactions, agendas and other materials.
  7. Maintains calendars, budgets, databases, filing systems, records, and procedures.
  8. Coordinates/attends County Committee meetings.
  9. Performs related duties as assigned.

  11. JOB REQUIREMENTS
  12. Experience performing secretarial functions in support of senior level management, organizing and managing complex administrative details, independently developing written materials, preparing and routing minutes, establishing and maintaining complex budgets, calendars and filing systems.

Skill organizing files and records, processing fiscal and non-fiscal transactions, performing mathematical calculations with accuracy, preparing records and reports, working with software applications including graphics, databases and spreadsheets, typing at a net corrected speed of 60 words per minute, taking and transcribing correspondence and minutes of meetings, utilizing standard office equipment (telephone, computer, typewriter, fax, printer, calculator, etc.).

  16. Knowledge of office management procedures, English grammar and usage, computer operations and software applications.

Ability to interpret and apply rules, regulations and policies, exercise sound judgment and initiative, maintain confidentiality, identify and effectively resolve problems, pay attention to detail, work independently, establish and meet deadlines, maintain accurate records, operate a computer, work and communicate effectively with a variety of personnel, take and transcribe meeting minutes, and the ability to type at a net corrected speed of 60 WPM; work flexible hours.

  20. Physical Abilities include sitting for extended periods, reaching, fine manual dexterity, pulling talking/hearing, and near and far visual acuity/depth perception/color vision/field of vision.

  1. MINIMUM QUALIFICATIONS
  2. Two (2) years of experience performing administrative and/or secretarial work for senior level management;
  3. Ability to type at a net corrected speed of 60 words per minute;
  4. Ability to receive a passing score on the San Bernardino County Superintendent of Schools (SBCSS) Administrative Secretary written test. *If test was previously taken and passed, proof of a passing score is required in lieu of taking the test;
  5. Possession of a high school diploma (or its equivalency) or higher or possession of a GED.

 

  1. DESIRED QUALIFICATIONS
  2. Experience taking dictation, speed writing, and/or shorthand with accurate transcription.
  3. Experience managing a clerical office and staff.
  4. Experience developing and maintaining budgets.
  5. Experience providing leadership to support staff.
  6. Experience working in an operation that relates to laws and regulations governing public education in California.
  7. Experience using various forms of software applications and electronic media.
  8. One (1) year of successful experience in a California school district or County Schools Office.
  9. Bilingual/Bi-literate.
