Accounting Assistant

Accounting and Tax Preparation firm is seeking an accounting assistant. We are seeking a candidate who thrives in a fast-paced environment, follows instructions carefully, and is highly detail-oriented. This role requires strong QuickBooks experience, excellent organizational skills, and the ability to support accounting workflows with reliable administrative assistance. Trustworthiness, confidentiality, and accuracy are essential traits for this position.

Summary of Responsibilities

In this position, you will be expected to perform daily bookkeeping functions for clients in both their offices and ours. This involves working closely and professionally with clients. This role will record transactions, process payroll, and support client bookkeeping while ensuring that all documentation, email communication, and scheduling are handled in an organized, timely, and professional manner.

Accounting Support (Primary Responsibilities)

  • Verify, classify, and enter details of transactions into QuickBooks.
  • Process payroll for multiple clients.
  • Assist with onboarding new employees for clients (timeclock setup, file documentation).
  • Research and resolve accounts payable and receivable discrepancies.
  • Reconcile bank and credit card accounts.
  • Compile reports and schedules as requested.
  • Ensure compliance with federal, state, and company policies, procedures, and regulations.

Administrative Support (Secondary, Supportive Responsibilities)

  • Monitor and organize client email accounts
  • Enter documents into Dext/QuickBooks Online; scan and upload receipts, invoices, and bills.
  • Maintain digital and physical filing systems for invoices, receipts, personnel files, and reports.
  • Maintain spreadsheets
  • Scheduling assistance.
  • Open/sort mail and manage office supplies.
  • Provide general administrative support (emails, phone calls, keep workspaces orderly).

Desired Skillset

  • QuickBooks experience required; competency with Microsoft Office and Google Suite.
  • Ability to follow written and verbal instructions precisely.
  • Strong organizational skills with high attention to detail.
  • Ability to work independently, manage multiple tasks, and meet deadlines.
  • Professional communication skills (written and verbal).
  • Commitment to confidentiality and discretion in handling client matters.
  • Positive attitude with customer service focus.

Work Environment

  • Primarily sedentary, performed in an office environment or client sites as needed.
  • Travel between client offices is required; mileage reimbursement provided. Typically 2-3 days per week.
  • Some filing required; must be able to lift files, open cabinets, and bend/stand on a stool.

Position Type and Expected Hours of Work

  • Full-time position (Monday through Friday).
  • Flexible scheduling available (e.g., 9 AM – 5 PM or 10 AM – 6 PM for an 8-hour shift).
  • Workload may fluctuate seasonally based on client needs.

Travel

Travel between work location and clients is expected for this position. As such, business mileage is reimbursable. Primary work locations are in the Glenville/Cashiers area.

Desired Education and Experience

  • High School Diploma/GED required. An associate or bachelor’s degree in business, accounting, or related field is preferred.
  • Previous accounting/bookkeeping and QuickBooks experience strongly preferred.
  • Prior administrative or office support experience helpful.
