Development Coordinator

Position Overview: The Development Coordinator supports HavenHouse St. Louis’ fundraising and donor engagement activities by positioning the Director of Development, Executive Director, and other team members as needed for success in stewardship, outreach, event execution, and relationship-building. This role focuses on research, organization, and administrative tasks to ensure effective fundraising efforts.

Responsibilities:

  1. Fundraising and Donor Relations Support:
    1. Conduct detailed research on prospective donors, corporate partners, and grant opportunities, compiling actionable insights for the Director of Development and grants team.
    2. Generate detailed reports and analyses on donor giving to assist with strategy development.
    3. Draft donor-facing copy for development messaging via email, social media, direct mail, etc.
    4. Create donor acknowledgments and ensure all donors are acknowledged appropriately and promptly.
    5. Provide operational support, including coordinating house tours for potential donors and stakeholders with the appropriate staff member. This may include the Development Coordinator leading house tours.

 

  1. Event Support:
    1. Take lead in managing administrative and logistical tasks associated with fundraising events, such as guest list creation, auction item tracking, event material sourcing and preparation, and other event-based tasks.
    2. Track event income and expenses alongside Director of Development.
    3. Correspond with event vendors to coordinate services and logistics.
    4. Support special events by organizing location logistics, scheduling, participant recruitment, and prize acquisition.
    5. Manage and co-manage volunteer committees in event planning through meetings, agendas, minutes, action items, and task delegation. 

 

  1. Database and Reporting:
    1. Maintain accurate donor records and oversee timely data entry into the donor database (Bloomerang) and any additional software, ensuring data cleanliness and accuracy.
    2. Become fully trained in database best practices and troubleshoot issues as needed and proactively.
    3. Generate detailed reports and analyses, providing insights for donor engagement strategies and projections.

 

  1. Administrative and Operational Support:
    1. Maintain calendars for fundraising activities, committee meetings, and development initiatives.
    2. Schedule meetings, prepare agendas, and document minutes and action items.
    3. Assist with running errands related to development activities, requiring reliable transportation.
    4. Help with other house duties as needed.

 

  1. Communications and Creative Contributions:
    1. Collaborate on designing high-quality marketing materials using tools such as Canva and Microsoft Office Suite.
    2. Support the creation and scheduling of development-based social media content and email marketing campaigns.
    3. Be a thought partner for the Director of Development for creative donor acknowledgments through displays, events, and personal outreach.

 

  1. Grant Research:
    1. Conduct thorough research of grant prospects and application processes, identifying opportunities for funding and presenting to Director of Development/Director of Grants as needed.

 

Qualifications:

  • Bachelor’s degree required; experience in nonprofit development, fundraising, marketing, communications, community organizing, or related fields preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Canva, and database systems (e.g., Bloomerang).
  • Exceptional organizational skills with strong attention to detail.
  • Strong research skills with the ability to synthesize complex information into clear, actionable insights.
  • Excellent written and verbal communication skills, with the ability to convey passion for HavenHouse’s mission.
  • Proven ability to prioritize and manage multiple projects simultaneously while meeting deadlines.
  • Ability to work effectively with the Director of Development and other team members to achieve shared goals.
  • Flexibility to attend occasional evening or weekend events.
  • High tolerance for working in emotionally sensitive environments and with families experiencing stress and hardship.
  • Capacity to communicate professionally, sensitively and at times confidentially with donors, families, and colleagues.
  • Reliable transportation for local travel and errands.
  • Ability to track, analyze, and report on data to inform development strategies.
  • Proficiency in managing unanticipated tasks alongside routine tasks.
