Secretary III - UW Extension

Job Summary

 

Extension Brown County is a partnership between Brown County government and University of Wisconsin-Madison Division of Extension. This position focuses on the following areas. 1) Develops and coordinates marketing and communication functions for Extension Brown County.   Creates materials for marketing educational programs and events on various platforms and updates social media sites. 2) Provides administrative support including but not limited to assisting with annual budget preparation, tracking expenses and revenue, and invoicing. 3) Delivers customer service to individuals seeking assistance from Extension Brown County.4) Assists educators and staff in completion of projects.

 

Essential Duties

 

Stays up to date on Brown County Extension programs and events and coordinates marketing plans to keep the public informed on services, programs, classes, and events.
 
Develops, maintains, and improves website, Facebook pages, e-newsletters, and other social media sites.
 
Uses social media and local organizations to market and promote educational programs and share Extension resources, including preparing event press released and editing various articles as needed.
 
Designs brochures, displays, and related educational materials.
 
Performs receptionist and counter duties; answers inquiries regarding departmental policies, regulations, and services; refers inquires to the proper official or department when appropriate.
 
Maintains weekly schedule book and a calendar of appointments, meetings, and other events pertaining to the department, makes appointments as instructed, and issues reminders.
 
Receives payments, issues receipts, accounts for monies handled.  
 
Assists in preparing annual budget; assists with budget and grant management throughout the year.
 
Enters invoices into New World accounting system for payment; issues Purchase Orders; orders office and program supplies.
 
Oversees financial tracking of all revenues and expenses.
 
Compiles data and prepares various financial and program reports.
 
Maintains confidentiality of department operations as applicable.
 
Provides customer service.
 
Stays informed on County administrative and financial policies and clarifies policies as needed to county-level Extension staff.
 
Accomplishes work related to the successful implementation of Extension Programs.
 
Collaborates with other office staff to streamlined communication of regular tasks, financial tracking, and shared responsibilities.
 
Stays informed on various technologies and provides assistance to other support staff and program educators as needed.
 
Assists with clerical support for UW-Extension staff as assigned.
 
Performs related functions as assigned.

 

Minimum Qualifications Required

 

Education and Experience:

Associate’s degree required or three years of office experience or any equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities.

 

Knowledge, Skills & Abilities

 

Knowledge of general office skills, practices, and procedures.
 
Knowledge of financial management practices and ability to maintain detailed tracking of financial information.
 
Knowledge of and ability to use various technologies and computer applications, including Microsoft Office applications, Google applications, email marketing software. and web conferencing applications such as Zoom and Microsoft Teams.
 
Experience in designing and creating professional brochures, fliers, newsletters, displays, forms, and reports.
 
Experience and/or knowledge in developing marketing plans.
 
Ability to communicate effectively and professionally both orally and in writing.
 
Ability to learn and apply the specialized knowledge and skills of the department in which employed.
 
Ability to operate standard office equipment.

Ability to establish and maintain effective working relationships with staff and the public.
 
Ability to work the required hours of the position.
