Project Assistant

Key responsibilities include supporting the Principal and Accounting Manager. Additional assignments as requested.

  • Help manage Principal’s calendar/schedule coordination
  • Assist Principal with managing her email inbox
  • Team travel coordination for work trips and conference
  • Overnight or day travel with Principal, may include assisting at the conference booth
  • File organization & management
  • Monitor info@dropcollab.com email address
  • Assist developing and maintaining job descriptions and offer letters
  • Post job openings/coordinate interviews
  • Maintain and update Employee Manual
  • Assist accounting with monthly invoicing
  • Run payroll bi-weekly
  • Review timesheet entries for consistency
  • Bring time entry process changes (as approved by Principal or Accounting Manager) to the team's attention 
  • General office tasks (office supplies, post office) 
  • Client contact lists (active, historical, and marketing
  • Assist in the development and process for proposals and RFQs
  • Assist with putting together presentations
  • Coordinate SWAG for conferences
  • Social media posts as requested
  • Contract development
  • Contract documentation once signed
  • Certificate of Insurance requests
  • Document project scope & budget
  • Alert the project manager if a deliverable is not touched or assigned or appears not on track to finish by the due date
  • Track deliverables and progress
