Job Purpose
The Administrative Coordinator provides essential support for the daily operations of the CharlestonLIFE™ office. This position serves as the first point of contact for applicants, prospective students, and external stakeholders, supporting the admissions process under the direction of the Associate Director for Admissions and Enrollment. The Administrative Coordinator also assists with program logistics, events, and materials, including marketing support, under the guidance of program leadership.
Minimum Requirements
High school diploma or equivalent and at least two (2) years of experience in administrative support, customer service, or hospitality. Proficiency in Microsoft Office 365 is required. A bachelor’s degree is preferred. Candidates with an equivalent combination of education and experience are encouraged to apply.
Required Knowledge, Skills and Abilities
• Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint).
• Strong word processing and data entry skills.
• Excellent written and verbal communication skills with the ability to interact professionally with a wide range of individuals.
• Strong organizational abilities with the capacity to prioritize tasks, manage frequent interruptions, and maintain attention to detail.
• Ability to work independently as well as collaboratively within a team environment to meet goals and deadlines.
• Professional demeanor with a customer-focused, service-oriented approach.
• Commitment to confidentiality and integrity when handling sensitive information in compliance with FERPA and College policies.
• Familiarity with Salesforce or other CRM systems is preferred.
• Ability to provide administrative support for social media platforms, website content management, and program materials under the direction of program leadership.

Administrative Coordination:
- Provide comprehensive administrative support for the daily operations of the CharlestonLIFE™ office.
- Welcome and assist visitors, applicants, and external stakeholders, ensuring a professional and welcoming environment.
- Respond to phone and email inquiries with accurate information and route complex or specialized matters to program leadership.
- Manage office scheduling, travel arrangements, mail, inventory, and supply ordering for CharlestonLIFE™.
- Record meeting minutes and maintain organized records to support program leadership.
- Participate in weekly team and leadership meetings
- Reserve rooms, coordinate catering and AV requests, and support logistics for meetings, events, and information sessions.
- Serve as the program’s purchasing card (P-card) liaison, processing transactions and purchase requests in accordance with College policies.

Admission Coordination:
- Serve as the first point of contact for applicants, prospective students, and external stakeholders, providing clear information and consistent support.
- Assist applicants with questions that arise during the completion of application materials and direct admissions-related matters to the Associate Director for Admissions and Enrollment.
- Track application progress and ensure completeness of required documents.
- Maintain accurate applicant files in both electronic and paper formats in compliance with FERPA and College requirements.
- Prepare application materials for review and generate routine reports to support program leadership.
- Communicate in a courteous and professional manner that reflects both CharlestonLIFE™’s mission of inclusion and the standards of the College.

Marketing and Events Assistance:
- Provide administrative support for CharlestonLIFE™’s website, internal Hub site, and social media accounts under the direction of program leadership.
- Post and update pre-approved content as assigned.
- Assist with the preparation of flyers, program handbooks, basic marketing materials, and program event logistics, in support of program leadership and in coordination with IT and Marketing when directed.
