Business Operations Generalist

Who we are:

Paradigm Robotics is an Austin, Texas based early-stage robotics startup building rugged, scalable robots for situational awareness in hazardous environments. We serve firefighting, emergency response, public safety, oil & gas, defense, and industrial markets. Our mission is to create a new paradigm of scalable, reliable, and useful robots for real-world hazardous operations - providing critical solutions to the most dangerous problems out there.

We've raised an oversubscribed round from top-tier venture firms. We’re working directly with over 80 of the largest fire departments, law enforcement agencies, industrial teams, and military units across the U.S., including the Air Force, Army, and SERDP. Our robots are built with and for firefighters, first responders, warfighters, and emergency crews.

Role Description:

As Business/Operations Generalist, you’ll work directly with the CEO to help build and systematize the business side of the company. One day that might mean coordinating a customer visit, the next it might mean helping arrange the office layout, managing inbound sales leads, or moving our internal operations to the platforms that will help us scale. You’ll be exposed to every facet of the business and expected to take ownership quickly. We will rely on you to help define how this role grows. We envision this role evolving into Chief of Staff, Head of Operations, COO, or Head of Strategic Projects within 2–3 years.

KEY RESPONSIBILITIES:

  • Founder Leverage & Execution
    • Act as a force multiplier to the CEO - collate details, prioritize, triage, and help execute high-impact items across the company
    • Follow up on action items from CEO meetings as needed
    • Keep the company running smoothly by coordinating across engineering, BD, grants, facilities, and leadership. Implement processes and systems to help the organization work more efficiently
    • Be proactive, take initiative, and step into urgent gaps without waiting to be told what to do
    • Help develop presentations, pitch decks, and analysis documents
  • Ops, Infra & Automation
    • Build and maintain internal operational systems: calendars, meetings, documents, processes
    • Own tactical workflows for grants, applications, reporting deadlines, and customer programs
    • Automate repetitive tasks and simplify systems to unlock team focus and velocity
  • Strategic Projects & Growth
    • Coordinate special projects across customers, investors, partners, and grant programs
    • Track goals, milestones, and OMTMs across the org, escalating blockers and helping teams stay aligned
    • Coordinate our presence at trade-shows, demos, field trials, and conferences - before, during, and after the event
  • Hiring & Culture
    • Support recruiting logistics, interview scheduling, and candidate communications. Work with external HR provider to ensure smooth functioning of HR activities and responsiveness to employee issues.
    • Help maintain our operating rhythm, culture, and internal communications
    • Lead ideas for organizational activities to keep team motivated.

Who we are looking for:

QUALIFICATIONS:

  • A Diploma in Communications/Operations/Administration/HR/Business Management/Finance + 4 years of experience or a Bachelors degree + 2 years experience
  • 1–2 years of experience in fast-paced environments such as startups, VC, or in other small businesses
  • Demonstrated ability to manage multiple projects and execute independently with minimal oversight
  • Proven ability to implement initiatives that improve organizational efficiency, scalability, KPIs, customer growth, or team culture — with clear impact
  • Excellent written and verbal communication skills
  • Certificates in Operations/Project Management such as PMP or 1 yr. equivalent experience
  • Strong organizational skills with high attention to detail - you track deadlines, drive follow-ups, and keep things moving
  • Demonstrated proficiency in analytical tools such as Excel
  • Proficiency with modern productivity tools (Notion, Google Workspace, HubSpot, Airtable, Zapier, Slack, etc. or similar)
  • Comfortable interfacing with customers, partners, team members, and external stakeholders
  • High agency, low ego, and a startup mindset - bias toward action, accountability, and continuous iteration

PREFERRED QUALIFICATIONS:

  • Hands-on familiarity with CRM, ERP or HR systems, automation, infrastructure
  • Background in working with government processes either in grant writing, proposal coordination, or R&D funding programs (e.g. SBIR, STTR, DoD, NASA, DHS) or commercial activities
  • Certificates in HR management such as SHRM-CP or equivalent 1 year experience supporting HR functional activities
  • Basic understanding of startup finance, investor relations, and fundraising operations
  • Technical curiosity or familiarity with robotics, hardware, or embedded systems is a plus

ADDITIONAL REQUIREMENTS:

  • Willing to work long hours, especially when necessary for critical milestones
  • Open to providing guidance to other team members when needed
  • Eager to implement best practices, and fast to communicate needs and desired process changes

Austin, Texas

In-Person

Monday - Friday/Saturday (5/6 days a week)

40-60+ hours a week

Compensation and Benefits:

$65,000-$110,000+/yr. (Depending on experience)
