
Business Operations Representative
PRIMARY PURPOSE:
The Business Operations Representative is a vital member of our team, serving as the central point of contact for our clients and the engine for our sales fulfillment process. You will be responsible for ensuring a seamless experience for our customers, from order entry to final delivery. The ideal candidate is highly organized, customer-focused, and thrives in a fast-paced environment where they can make a significant impact.
PRIMARY RESPONSIBILITIES:
- Manage incoming customer orders via email and phone, ensuring 100% accuracy and completeness.
- Process orders, prepare packing slips, and generate invoices using QuickBooks.
- Coordinate daily shipments, including preparing shipping labels via carrier websites and assembling packages for same-day dispatch.
- Serve as the first point of contact for customer support, responding to inquiries, resolving issues, and preparing quotes in a professional and timely manner.
- Manage inventory of office and shipping supplies.
- Collaborate with the team to achieve sales targets and exceed customer satisfaction goals.
- Other duties as assigned.
SCOPE:
- Work as an integral member of a small team, exhibiting flexibility in responding to each day's changing priorities.
- Independently manage and prioritize tasks to ensure timely completion
- Use sound judgment within defined procedures and practices to determine appropriate action.
REQUIREMENTS:
- A minimum of 1 year of experience in a customer service, online sales, or operations role.
- Bachelor's degree or prior college-level coursework in a scientific discipline (e.g., immunology, biology) is strongly preferred, as this role requires communicating with clients about technical products.
- Proficiency with Microsoft Office Suite (Word, Excel) and QuickBooks.
- Excellent time management and organizational skills with a proven ability to prioritize tasks and meet deadlines.
- Detail-oriented mindset and the ability to work effectively in a fast-paced environment.
- Strong verbal and written communication skills.
- A self-motivated, collaborative team player with the ability to think logically and work independently.
- Experience with Salesforce or a similar CRM is a plus.
