Administrative Assistant to the Upper School Dean of Student Life

Visitation School is seeking an Administrative Assistant to the Upper School Dean of Student Life for the 2025-26 school year. This is an hourly, .80 FTE, academic year-based role with scheduled hours from 7:00 – 3:30 on school days.  The role is primarily focused on attendance, security, and administrative support. The person in this position is the primary contact for visitors throughout the day and will be responsible for gathering, entering and distributing attendance information and tracking students whereabouts on a daily basis. This role assists the Upper School Dean of Students in overseeing security at the school by supervising activity at the main entrances and commons areas and implementing safety and security procedures for the school. In addition, this role will support the Dean with various administrative duties and projects.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Be visible and helpful to students, visitors, and guests.
  • Answer the phone, check-in visitors and direct them through the appropriate procedures. 
  • Gathering, entering, verifying, and distributing attendance information each day accurately and promptly.
  • Oversee security of the grounds and building during the school day.  Use the cameras for general security checks of the main entrances and parking lots.
  • Assist the Upper School Dean in various administrative projects in a professional and in some cases, confidential manner. 
  • Ability to multi-task while maintaining a calm disposition, as well as prioritize needs based on the situation.
  • Maintain security regulations and assist in emergency events/situations. Assist in determining security policies, procedures, and practices to ensure compliance with all regulations. 
  • Assist US Dean with emergency materials, safety drills, school maps and emergency binders.
  • Ability to learn, navigate and control the camera software.
  • Serve as a role model in all actions, both verbal and non-verbal, in alignment with Salesian philosophy (reflecting gentle strength, dignity, patience and Christian humanism) and spirit of the School.
  • Address all issues and concerns in a forthright, respectful and equitable manner.
  • Ability to work collaboratively with differing levels, but also comfortable working independently; a self-starter with the ability to take initiative when required.
  • Notify the dean or division directors for emergency messages.
  • Miscellaneous projects and completes various tasks as needed by management.

The ideal candidate will have 2-5 years of administrative experience working in a fast-paced, dynamic office environment and/or experience within the educational field. The ability to demonstrate strong written, verbal and listening skills while providing personal experiences for all employees, students, families and guests. This role must have the ability to handle multiple responsibilities effectively. This role must also have high proficiency with technical tools - specifically Google Workspace and the ability to productively utilize PowerSchool, security cameras and door access controls. This self-starter will have the ability to identify tasks and take the initiative to address the needs of the school.

Hiring Salary Range:  $18.50 - $21.00
