Job Description:
Our company is seeking an Accountant/Bookkeeper to manage day-to-day accounting functions, including job costing, invoicing, payroll coordination, and financial reporting across multiple projects for our two organizations. The ideal candidate will be well-versed in accounting principles as well as able to work comfortably with numbers, excel spreadsheets, and QuickBooks. The ideal candidate will have strong knowledge of project-based accounting, excellent organizational skills, and the ability to work closely with HR, clients, vendors, and executive leadership to support strategic planning and long-term financial health. As an Accountant/Bookkeeper for our two organizations, you will play a crucial role in tracking outstanding invoices to ensure timely payments from clients, vendors, and partners and schedule outgoing payments to maintain good relationships.
Roles:
- Oversee all bookkeeping functions for multiple construction and design projects, including job costing and project tracking.
- Process accounts payable/receivable, including vendor billing, subcontractor payments, and client invoicing.
- Maintain accurate financial records, balance sheets, and general ledgers.
- Reconcile accounts to eliminate any discrepancies.
- Coordinate with vendors on orders, payments, and issue resolution.
- Working with project managers to evaluate financial progress and projections
- Review and manage accounts payable and receivables.
- Maintain all company related financial records.
- Liaise with external auditors and assist with the annual audit process.
- Monitor budgets and produce regular reports including P&L, budget-to-actuals, and cash flow projections.
- Reach out to company vendors to handle orders, process payments, and communicate any potential issues.

- Ensure accurate and timely processing of payroll; collaborate with HR on payroll and end-of-year tax documentation.
- Prepare and file tax returns to ensure compliance with all financial laws and guidelines.
- Keep track and organize company reimbursements, invoices, and billing information.
- Support operations by identifying and recommending financial process improvements.
- Track and manage vendor deposits, retainage, lien waivers, and client billing schedules.
- Ensure all records and invoices are up to date.
- Perform other finance-related duties and administrative support as needed.
Job Requirements
- Bachelor’s Degree in Accounting, Finance, or related field.
- Minimum 2-3 years of accounting/bookkeeping experience.
- Minimum of 2–3 years of experience in bookkeeping or accounting, preferably in construction or interior design a plus.
- Experience with JobTrend or similar job costing/project management tools is a strong plus.
- Solid understanding of project-based accounting, job costing, and financial forecasting.
- Strong reconciliation skills and familiarity with handling multi-entity or multi-departmental finances.
- Ability to work collaboratively in a dynamic, fast-paced environment.
- Strong understanding of accounting principles and compliance standards.
- Proficiency with QuickBooks, Excel, and Microsoft Office Suite.
- Experience managing multiple budgets and job costing.
- Excellent organizational and analytical skills with a high level of accuracy.
- Ability to handle sensitive information with discretion and confidentiality.
- Strong organizational skills with attention to detail, planning, and follow-up.
- Strong communication skills and ability to collaborate cross-functionally.
- Ability to work independently and manage shifting priorities under pressure.
- Flexible schedule and willingness to adapt in a dynamic, evolving environment.
