Front Office Coordinator

Come join our small law office offering life changing services for clients!  If you're a highly organized, client-focused, can manage front office operations and provide essential support to our team, this may be your next position. You will be the first point of contact for clients, ensuring a welcoming environment and efficient handling of administrative tasks, document management, and communication.  Our clients are often in stressful situations.  If you have compassion and empathy and loads of patience, this is for you!  We are a small, family owned business focused on our clients.

 

 

Responsibilities:

  • Greet and welcome clients upon arrival, providing a positive first impression.
  • Manage appointment scheduling and coordination.
  • Maintain a comprehensive understanding of the team's schedule.
  • Answer and direct incoming phone calls professionally.
  • Conduct follow-up communication with new clients.
  • Open and prepare new client files.
  • Scan, organize, and maintain documents within client files.
  • Prepare and send letters for clients
  • Perform other duties as assigned to support the team and office operations.

  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Professional demeanor and strong client service orientation.
  • Adept at handling difficult client interactions with professionalism and empathy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Proven ability to maintain composure and effectively resolve issues in high-stress situations.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
