Operations Manager

Operations Manager

Full time (goal of 32 hours per week) 

Remote within NYC area with in-person meetups as needed

The role

Your job is to make work feel easy for our clients and our team. You guide projects from kickoff to check-ins, keep timelines and details clear, and you’re the friendly first stop for “how do we get this done” questions. You support our clients with care, lead our VA Admin team, and keep Admin, Finance Ops, and Marketing Ops moving in sync. You’re the glue between the HR Pros and the clients making sure that all things run smoothly for great delivery of service.  You love tidy SOPs and simple SLAs. And because we run on EOS, you wrap the week into a crisp KPI snapshot for our Level 10 so we can celebrate wins and fix what needs love. What you will own

  • Delivery operations: scheduling, kickoff readiness, check-in cadence, service logistics, client communications for ops needs

     
  • Client liaison and CSAT tracking, survey follow up, issue routing and resolution

     
  • VA Admin team workflow, tickets, QA, capacity

     
  • Finance Ops cadence with our bookkeeper: invoice prep and sends, AP/AR follow up, first-level collections, time vs. deliverable checks (target DSO 30 days)

     
  • SOP library, updates that do not change risk or cost

     
  • Vendor and renewals calendar, tool access and permissions (Google Workspace, HubSpot, Zoom, HRIS, project tools)

     
  • HubSpot hygiene: required fields, pipeline rules, basic reporting

     
  • Marketing Ops: content calendar, social scheduling, light website updates, webinar logistics, email sends in HubSpot

     
  • Weekly, monthly, quarterly, annual KPI packs with trends, risks, and a short issues list presented in the L10

     

You’ll thrive here if you

  • Hold a Bachelor’s in Business, Operations, or Entrepreneurship (MBA preferred)

     
  • Bring 1 to 3 years of operations experience and project coordination experience, or standout internships with the same; professional services experience is a plus

     
  • Are a self-starter who is organized, detail-driven, and steady under shifting priorities

     
  • Communicate clearly with clients and teammates and can write concise SOPs and KPI summaries

     
  • Have financial acumen for AP/AR and basic reporting, are fluent in English, and are comfortable with Google Workspace, HubSpot, spreadsheets, Zoom admin, and a basic CMS

Work style and location

  • Remote within the NYC area; in-person meetings with the CEO in NYC are required as needed (some weeks 1–4 times, other weeks none)

     
  • Full time with a 32-hour weekly goal; some weeks may flex higher during peak activity

     
  • Occasional travel for company gatherings, strategic meetings, industry events, or client needs

     
  • BYOD program (we reimburse your device)

     

Compensation and benefits

  • Starting salary: 60,000/yr (higher consideration for operations experience in a professional services environment)
