Job Summary:
Proved secretarial support to specific administrator(s) or department to ensure that the office operates smoothly and efficiently. Assist staff, students, parents and patrons.
Essential Duties and Responsibilities:
- Elementary: register and withdraw students; maintain cumulative files on all students; maintain accurate records related to staff attendance; serve as liaison for placing substitute teachers.
- Secondary: duties vary based on assignment including: perform bookkeeping for activity and club accounts; maintain substitute teacher record keeping; prepare and develop publications; and register and withdraw students.
- Serve as a secretary to a specific administrator(s) or department. Receive visitors schedule appointments and/or conferences, answer telephone calls and refer to appropriate administrator staff member.
- Communicate information to students, parents and patrons in person or by telephone where judgment, knowledge and interpretation of school, district and state policies and regulations are necessary.
- Prepare, proof and review documents, records and forms accuracy, completeness and conformance to school, district and state policies and regulations.
- Operate computer equipment to update database and to prepare a variety of documents, correspondence, reports and related materials, utilizing various software, i.e., word processing, desktop publishing, spreadsheets, etc.
- Communicate effectively with students, parents, patrons, coworkers, instructional staff and administrators, both orally and in writing, utilizing correct English, grammar, spelling punctuation and vocabulary.
- Operate a variety of office machines and equipment.
- Establish and maintain positive staff and public relations.
- Collect and compile statistical and other information to include in special and periodic reports required by the school, district and state. Provide information as requested to counselors, Department of Social Services, social security, probation officers and the courts.
- Resolve routine or emergency situations in the absence of the administrator(s) or department head.
- Assist other office personnel as needed.
- Prepare and submit requisitions for office supplies and materials to building secretary.
- (Elementary/K-8) Perform crossing guard duties as assigned by school administration to include attending crossing guard training and direction action of children and traffic at assigned crosswalks in order to ensure safe crossing.
- (Elementary/K-8) Perform lunchroom monitor duties as assigned by school administration to include assisting students with lining up to receive their lunches, helping students open items on their trays, enforcing lunchroom rules, leading students to the lunchroom, dismissing students from the lunchroom, wiping down tables, and assisting with organizing and implementing indoor activities for students during inclement weather.
- Perform other duties as assigned.
Education, Training and Experience:
- High school diploma or equivalent.
- Over two years of secretarial/clerical experience.
- Basic data entry, math, and typing skills.
- Advanced microcomputer skills preferred. Working knowledge of general office procedures and equipment, and the ability to coordinate, plan, organize, prioritize and complete tasks.
- Operating knowledge of ALIO Student Information System and current Microsoft Office software preferred at hire.
- Ability to work with children and children with special needs.
- Minimum of 50 wpm typing skills required.
- Ability to promote and follow Board of Education Coherent Governance Policies, District Policies and building and department procedures; communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds and recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.
- CPR and First Aid preferred at elementary level.
- The employee must occasionally lift and/or move up to 10 pounds.
- Criminal background check and District fingerprinting required.
