Entry Level Administrative Assistant - Elk Grove Village, IL (Graduates ONLY)

We’re seeking a detail-oriented and organized Entry Level Administrative Assistant to join our Import Department. This role handles customer service and administrative tasks related to import operations — including data entry, document processing, and coordinating with vendors to ensure smooth customs clearance.

You will serve as the main point of contact between customers, U.S. Customs and Border Protection, and other agencies such as the FDA, ensuring accurate and timely shipment processing. Ideal candidates have a logistics background, strong communication skills, and the ability to manage multiple deadlines in a fast-paced environment.

Key Responsibilities:

Coordinate import shipments and communicate with customers

Enter data for U.S. Customs and other government agencies

Process and audit shipping documents

Arrange drayage and trucking with vendors

Coordinate with warehouse staff for delivery

Approve vendor invoices and generate customer invoices

Manage payments to terminals (e.g., PierPass, PayCargo)

Maintain accurate shipment records and files

Qualifications:

High School diploma required; college education or relevant experience preferred

Strong communication, organizational, and computer skills

Experience with Tradepoint Alliance System a plus

Ability to solve problems and meet deadlines

Proficient in written and spoken English
