Administrative Assistant/Scale Operator

Overview: 

As a Administrative Assistant/Scale Operator in a high-volume sand and gravel industry, you will play a crucial role in managing the flow of materials out of the facility. You will be responsible for accurately weighing outgoing trucks, ensuring compliance with safety regulations, and maintaining detailed records of transactions. Your attention to detail, strong communication skills, and ability to work in a fast-paced environment will contribute to the smooth operation of our pits. 

Key Responsibilities: 

1. Weighing Trucks: Accurately weigh outgoing trucks carrying sand, gravel, and other materials using electronic scales. 

2. Documentation: Maintain detailed records of all transactions, including the weight of materials, truck identification, and customer information. 

3. Compliance: Ensure that all trucks comply with safety regulations and pit policies before allowing them to exit the facility. 

4. Communication: Communicate effectively with truck drivers, loader operators, and management to keep efficient movement of materials. 

5. Customer Service: Provide excellent customer service to truck drivers and other visitors to the pit, addressing any concerns or inquiries in a professional manner. 

6. Safety: Adhere to all safety protocols and procedures to maintain a safe working environment for yourself and others. 

Expectations in the office: 

1. Timely manners, trucks are expected to be in and out of the pits in less than 15 minutes. This includes the loadout and scale out process. With carrying an on-site location and remote locations, being attentive to your locations is a major roll in your position. 

2. Customer Service, customers calling regarding how many tons they need can be directed to the website for a calculator. Regarding product pricing, supply them with what they wish. For those requesting a price list, all list are available on our website. When speaking to drivers, gather all information needed as quickly and as accurately as possible. Speak with professionalism and intent to get people where they need to be. 

3. Trouble shooting, foremen and other staff will assist you in printer issues, ticket paper refills, etc. Refer to your scale book for any information needed. All tech and software system issues can be brought to attention to the Scale Coordinator. 

4. Dress code:  Casual professional attire with closed toe shoes, maintaining good personal hygiene and grooming habits with neat and tidy hairstyles.  While the dress code may be casual professional, it's still important to present yourself in a polished and professional manner that reflects positively on yourself and the company.   Additional details of dress code will be discussed if selected for an interview.

If you are a multitasking, self starter with proficient computer skills in Word, Excel or data entry experience with excellent verbal and written communication skills, and a customer service background, you can be trained on the scale operation portion.

This is a permanent, full time 100% onsite position in Oxford, MI.  Busy Season Hours (typically April – November) are 6 days per week (at least two times a month) with Hours M-F, 6 AM to 5 PM and Saturday 6 to noon.  Off season is M-F.

Range in Pay $18 - $22 per hour depending on experience and skill.  Benefits include Overtime, health insurance, 401K.
