Office Manager / Administrative Assistant
The Children’s Speech & Reading Center (CSRC) is seeking a full-time Office Manager/Administrative Assistant to join our dynamic and client-centered therapy clinic. Essential Duties:
- Oversee daily operations of the clinic
- Complete monthly payroll
- Greet and welcome children, families, and visitors to CSRC
- Answer the phone and provide up-to-date information
- Prompt follow-up, including confirmation calls for screenings or evaluations, records needed from a doctor’s office, etc.
- Assist with client intakes and scheduling appointments
- Track new client status (i.e., screens/evaluations scheduled, intakes completed, therapy appointments scheduled, etc.)
- Submit timely Medicaid electronic billing
- Track scholarship applications, assist with scholarship awards and correspond with families regarding awards
- Review monthly reports for accuracy
- Oversee staff onboarding and performance reviews
- Must be able to commute between Fort Collins and Loveland offices
- Must be able to successfully pass and maintain all background checks
Additional Duties:
- Assist with Employee Handbook maintenance
- Assist with HIPAA compliance
- Distribute and compile Satisfaction Surveys and assist with summary of results for the Board
- Track referral sources and compile results
- Participate in marketing and community outreach initiatives
- Assist with the maintenance of mailing lists
- Assist with social media, newsletters, community engagement, and webpage updates
- Monitor clinic supplies and vendor relationships
- Support grant writing, donor communications and fundraising efforts in collaboration with leadership
Knowledge and Skills:
- Skill to perform the tasks described above
- Skill in operating a personal computer utilizing Microsoft Office programs, Google Workspace, and other software applications
- Skill in establishing and maintaining effective working relations with co-workers, Board members, and representatives from other local, state agencies
- Skill in human resources
Qualifications:
- College background and/or minimum of two years of experience with office and administrative support skills
- Experience in nonprofit, community health or resource-limited settings is a plus
- Must enjoy interacting with children and families in a clinical office setting
- Strong communication and interpersonal skills
- Strong organizational and multitasking skills with attention to detail
- An understanding of the mission and goals of CSRC
Benefits:
- Pay: $22-27/hour, depending on experience
- Paid time off, with additional 9 paid holidays
