Operations Associate Job Description

The Operations Associate will support property management operations across our portfolio.

This role will assist with invoice processing, vendor documentation, tenant coordination, and

internal systems. Ideal for someone detail-oriented, reliable, and comfortable working in a fastpaced

environment.

Responsibilities

Finance & Invoicing

• Code invoices and compile check run packets

• Set up vendors in Avid/MRI

• Track, verify, and pull invoices from multiple sources

• Assist with monthly and annual financial reports

Vendor & Document Management

• Request and track W9s, COIs, and service agreements

• Follow up on missing documentation

• Communicate with vendors about payments and status

Tenant & Property Support

• Coordinate with tenants and building staff on notices and updates

• Support property takeovers (e.g., utility transitions)

• Assist with inspections (e.g., backflow, submetering)

Internal Support

• Prepare and send service agreements

• Format business documents and branded materials

• Upload and manage files in SharePoint

• Call utilities to update accounts

Excel, Word, Outlook, SharePoint, Adobe Acrobat Pro, Avid, MRI
