Administrative Assistant/ Receptionist

Role Description:
We are currently seeking a dedicated and proactive Receptionist/Administrative Assistant to join our dynamic team of financial advisors. This full-time, on-site position is ideal for someone who thrives in a fast-paced office environment, enjoys multi-tasking, and is eager to contribute to the success of a well-respected financial services firm. In this pivotal role, you will be the first point of contact for our clients and visitors, ensuring a welcoming and organized atmosphere. Your responsibilities will include managing front desk operations, answering phone calls, coordinating schedules, and providing essential clerical support to our team. You will be instrumental in following up on client inquiries and facilitating internal communications. This is an ever-evolving role with considerable upward mobility and opportunities for career growth. We are looking for someone who is enthusiastic about learning and taking on new challenges as they arise.

 Key Responsibilities: 

  • Greet visitors warmly and manage inquiries in a professional manner.
  • Answer incoming phone calls, directing them to the appropriate team members, and taking messages as necessary.
  • Schedule and coordinate appointments for financial advisors and clients, ensuring efficient time management.
  • Manage documents, including filing, data entry, and maintaining record-keeping systems.
  • Assist in preparing reports and presentations as needed.
  • Provide timely follow-up on client inquiries, ensuring client satisfaction and responsiveness.
  • Support internal communications and assist with various administrative duties to maintain smooth office operations.
  • Collaborate with team members to continuously improve office processes and workflow.

Qualifications: 

  • Education: High school diploma is required; an associate’s degree or Bachelor’s degree is preferred.
  • Experience: Previous office experience is a plus, particularly with a focus on administrative duties.
  • Skills & Abilities:
    • Excellent organizational skills with the ability to multi-task and maintain a keen attention to detail.
    • Strong written and verbal communication skills.
    • Ability to work effectively both as part of a team and independently.
    • Proficient in basic computer applications (e.g., Microsoft Office Suite).
    • A positive attitude, adaptability, and a sense of humor are highly valued.
    • Securities licenses and insurance licenses are not required but are a plus.
