
Executive Personal Assistant
Job Summary
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our team. The ideal candidate will possess exceptional clerical and administrative skills, ensuring smooth office operations while managing various tasks efficiently. This role requires a detail-oriented individual who can handle multiple responsibilities with professionalism and discretion.
Responsibilities
- Manage and organize files, documents, and records to ensure easy access and retrieval.
- Handle data entry tasks accurately and efficiently, maintaining up-to-date information.
- Operate office management systems, including phone systems, to facilitate communication.
- Assist in scheduling appointments, meetings, and travel arrangements as needed.
- Utilize DocuSign for document management and electronic signatures.
- Maintain a professional phone etiquette when interacting with clients and colleagues.
- Provide clerical support by preparing reports, memos, and correspondence as required.
- Collaborate with team members to streamline administrative processes and improve efficiency.
- Represent the Owner when he is not present
- Other tasks and responsibilities as assigned
Requirements
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong computer literacy with proficiency in Microsoft Office Suite and other relevant software.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Familiarity with office management practices and procedures.
- Strong attention to detail and accuracy in data entry tasks.
- Effective communication skills, both verbal and written.
- Ability to maintain confidentiality and exercise discretion in all interactions.
- Previous experience with DocuSign or similar electronic document management systems is a plus.
