OVERVIEW

 

University Relations, composed of Development, Alumni Relations, and University Marketing & Communications, builds Santa Clara University's excellence and character by strengthening relations with alumni, parents, and friends of the University, raising public awareness, and increasing private philanthropy, which supports the University's growth and reputation.

 

PRIMARY PURPOSE OF POSITION

 

Reporting to the Assistant Vice President of Constituent Relations (AVP), the Director of Direct Appeal is responsible for managing and sustaining the annual direct appeal efforts for the Development Office. The Director will create and implement, and manage comprehensive development programs to support fundraising initiatives. This position will manage the Development Office's direct mail, email, giving website, and Day of Giving efforts, which are driving forces in the efforts to increase Santa Clara University's alumni participation and annual giving rates.

 

The Director is primarily responsible for the creation, coordination, implementation, evaluation, and execution of the direct appeal program for Santa Clara University. The Director works with the Development Office, University Marketing & Communications, schools, colleges, centers of distinction, and the athletic department to provide guidance, write content for and execute a direct appeal program aimed at maximizing annual contributions to various funds with a primary emphasis on the Santa Clara Fund.

 

The Director must draft content, coordinate design, and ensure the production of direct appeal solicitations in a timely, accurate, and cost-efficient manner. This position is also responsible for coordinating vendor activities for direct mail and coordinating the Development Office's Website.

 

The Director oversees the Direct Appeal staff and coordinates closely with the Director of the Reunion Giving and the Director of the Student Call Center. The Director will develop strategies and work collaboratively with Development AVPs and directors (Parent Giving, Reunion Giving, etc.), Alumni Association managers, the Office of the President, the Office of Student Life, directors of external relations across schools and centers, student organizations, and outside vendors.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

• Work closely with the Executive Director of Annual Giving and other directors within Development to formulate annual plans and strategic fundraising goals.

 

• Plan, develop, and lead the Development Office direct appeal and annual giving programs by developing and implementing mail, electronic mail, and other internet communications and appeals.

 

• Establish and meet department annual goals, objectives, and key initiatives.

 

• Serve as the primary contact for UMC staff for all Annual Giving messaging and branding (Leavey Challenge, Day of Giving, Direct Appeal, Reunion Giving).

 

• Provide guidance and leadership to the Annual Giving (reunion giving, digital fundraising, and the student call center)

 

• Oversee the annual Day of Giving (DoG). Manage digital strategies, schedule planning, and committee creation. Coordinate all communication with internal stakeholders for the planning and execution of DoG. Oversee the implementation of all DoG platform webpages, content and messaging. Identify and propose solutions for issues as they arise during the DoG implementation. Contribute to all post-DoG press releases, messaging, reports, etc. Collaborate with all internal partners to plan and execute all pre and post-DoG communication, including donor thank-yous and acknowledgements.

 

• Coordinate all solicitation efforts with the schools, centers, and other campus units to ensure consistent messaging and branding.

 

• Develop a comprehensive plan for all direct mail and email solicitations across campus, coordinating with external relations directors and other campus partners.

 

• Collaborate with Development staff, schools, colleges, centers of distinction, and athletic department to develop, manage and implement solicitation materials, including production and distribution.

 

• Manage the Development Office website. Generate content and keep the website current by developing strategies to integrate social media (Facebook, Twitter, etc.) in our overall fundraising communications.

 

• Work with Reunion Giving Officers to coordinate the direct mail and email solicitations for 10 reunion classes.

 

• Supervise Direct Appeal Manager, providing strategic direction and day-to-day supervision of program-related activities.

 

• Work with the Student Call Center Director to coordinate the direct mail and student calling programs by creating an overall annual fund calendar.

 

• Coordinate appeal codes and segmentation with the Advancement Services team.

 

• Develop and implement the University's annual staff/faculty appeal.

 

• Research prospective vendors, evaluate bids for services, and establish a working contract. Serve as primary contact with outside print and mail house vendors to schedule projects, and produce and execute mailings. Oversee vendors to ensure timeliness, quality and accuracy of mailings, including proofing copy, data files, and design specs and samples.

 

• Manage direct appeal budget.

 

• Ensure that vendor invoices are paid in a timely manner, whether they pertain to Direct Appeal's own efforts or to the efforts pursued by Direct Appeal on behalf of University partners.

 

• Develop segmentation strategies and prepare complex programming data requests to be utilized by the Systems Administrator, then review and ensure the accuracy and security of constituent data.

 

• Keep informed of U.S. Postal Regulations and Policies as they relate to direct mail.

 

PROVIDES WORK DIRECTION

 

• Provide work direction, supervision, and training to direct appeal staff and student employees.

 

QUALIFICATIONS

Knowledge

 

• Demonstrated experience in multitrack project management.

 

• Experience providing exemplary customer service to internal and external clients.

 

• Understanding of and compliance with University guidelines and confidentiality in communications with external constituencies including volunteers, prospects, and donors.

 

• Knowledge of direct mail print production and/or annual giving programs.

 

• Understanding and appreciation of the mission of Santa Clara University and of the vision and values of a Jesuit Catholic educational institution.

 

Skills

 

• Proficiency in Adobe InDesign, Photoshop, and/or Illustrator, Acrobat, Dreamweaver, Terminal-4 (T4) or other web development programs.

 

• Working knowledge of HTML and an ability to correct and adjust HTML documents at their source.

 

• Proficiency and experience in Microsoft Office products, spreadsheets, Google products (i.e. Google docs, Gmail, etc.), Blackbaud CRM (database) and Blackbaud Internet Solutions (BBIS) mass-mailing tool, and an ability and willingness to learn new software if needed.

 

• Excellent oral and written communication skills are required. Editing, proofreading, and basic copywriting skills are needed (writing samples may be requested).

 

• Demonstrated interpersonal skills and the ability to collaborate, build alliances, and achieve results.

 

• Positive attitude, sense of humor, and flexibility.

 

• Demonstrated skill in motivating others.

 

• Must be detail-oriented, analytical, and have outstanding organizational skills.

Education/Years of Experience

 

• Bachelor's Degree required.

 

• Six to eight years of related professional experience which includes one to three years of direct development, fundraising, marketing, strategic planning and project management experience, preferably in a higher education environment.

 

• Valid driver's license.

 

• Supervisory or management experience preferred.
