
Office Receptionist/Dispatcher
Skills/Requirements
-Great attitude with customer service skills.
-Proven experience in office administration, dispatching, and receptionist duties.
-Strong organizational and multitasking abilities.
-Excellent communication skills, both verbal and written.
-Ability to work under pressure and meet deadlines.
-Proficiency in MS Office Suite (Excel, Word, Outlook) and dispatch software (preferred).
-Strong attention to detail and problem-solving skills.
-Ability to work independently and as part of a team.
-High school diploma or equivalent; higher education, additional administrative, receptionist, or logistics training is a plus.
Responsibilities
-Greet visitors and direct them to the appropriate department or staff member.
-Answer and direct incoming calls, take messages, and respond to general inquiries.
-Maintain a professional and welcoming atmosphere in the front office area.
-Schedule and confirm appointments for visitors, clients, or employees.
-Coordinate and dispatch work orders to field staff, ensuring timely completion.
-Monitor and track service delivery, ensuring schedules are met and customers are satisfied.
-Communicate with field personnel to relay job details, address issues, and provide support as needed.
-Maintain and update the dispatch log to track job progress, delays, and completion.
-Coordinate with vendors, clients, and other departments to resolve issues and optimize workflow.
-Use dispatch software and systems to assign tasks and monitor progress in real-time.
