MARKETING AND EVENTS ASSISTANT 

 

The City of Harrisburg is accepting applications for the position Marketing and Events Assistant. A management-level position responsible for assisting in the marketing, coordination, development and planning of all special events, festivals, parades and celebrations sponsored in whole or in part by the City of Harrisburg. Work is performed under the general direction of the Special Events Manager.

 

COMPENSATION & BENEFITS

The City of Harrisburg offers an annual salary range of $50,000.00 to $52,000.00 (commensurate with experience and qualifications). This full-time position also includes an excellent benefits package: defined pension plan, paid holidays, paid time off (vacation, sick and personal time) and health care benefits (medical, dental, prescription and vision).

JOB TITLE

 

MARKETING AND EVENTS ASSISTANT – DEPARTMENT OF SPECIAL EVENTS 

 

DEFINITION:

The Marketing and Events Assistant is a management-level position responsible for assisting in the marketing, coordination, development and planning of all special events, festivals, parades and celebrations sponsored in whole or in part by the City of Harrisburg. Work is performed under the general direction of the Special Events Manager.

EQUIPMENT/JOB LOCATION: 

Work is typically performed at the Rev. Dr. Martin Luther King, Jr. City Government Center. Work involves the use of various machines such as a computer, scanner and printer, copy machine, telephone, video camera, digital camera and other technological devices as necessary or required. Duties are typically performed weekdays from 8:00 a.m. to 5:00 p.m.; however, this position requires flexibility to include availability during evenings, weekends and holidays.

ESSENTIAL FUNCTIONS:

Work involves, but is not limited to:  

  • Assist with the logistical planning efforts of single and multi-day events hosted by the city including the Ice & Fire Festival, Artsfest, July 4th Food Truck Festival, Kipona Festival, Holiday Parade, and New Year’s Eve Celebration. 
  • Provides on-site support for set-up and events. This includes mapping vendors spaces, hanging signage, managing the information tent, troubleshooting issues as they arise, and more throughout the event.
  • Manages vendor relationships including applications, set up needs, tracking of payments, on-site coordination, and more. Must continuously identify and connect with prospective new vendors and add them to our database. 
  • Assist in conceptualization and execution of all event programming, including identification & coordination with various entertainment providers and internal operations teams. Offers creative input on new attractions and programming ideas.
  • Assist in creation and distribution of marketing materials using the Adobe Creative Cloud and Canva. This includes a variety of social media content, posters, postcards, multi-page event guides, yard signs, banners, billboards, and more.
  • Assist in the development of marketing campaigns, including editorial calendars for social media and identifying paid marketing channels.
  • Participate in media interviews with approval from the Special Events Manager.
  • Assist with submitting invoices for payment and other purchasing processes.
  • Answers questions from vendors and the general public via phone, email or in-person. 

 

This position requires a highly energetic, self-directed person who can handle a variety of tasks during any given day. The person in this position must have a strong commitment to public service, supporting small businesses, and a desire to drive visitation to the city.


NON-ESSENTIAL FUNCTIONS: 

Performs other duties as assigned. 

REQUIRED KNOWLEDGE AND ABILITIES: 

  • Thorough knowledge of event planning and marketing. 
  • Basic graphic designs skills using the Adobe Creative Cloud and Canva.
  • Excellent organizational skills and the ability to handle multiple tasks professionally.
  • High attention to detail, clear communication skills, and a creative team player.
  • Ability to communicate effectively in written and oral form. 
  • Ability to anticipate and meet project schedules and deadlines.
  • Ability to create and maintain accurate records. 
  • Excellent personal computer skills in a Windows operating system environment utilizing Microsoft Office and Adobe Creative Suite.
  • Ability to establish and maintain effective working relations with supervisor, co-workers, community groups, businesses, and non-profit corporations.
  • Ability to stand/walk for long periods of time in a wide variety of weather conditions. 

 

QUALIFICATIONS:

Bachelor’s degree in Marketing, Business Administration, Public Relations, or related field, plus at least one year of event planning experience. Graphic design skills strongly preferred. Other equivalent combinations of experience and training which provide the required knowledge and abilities will also be considered. A valid Pennsylvania Driver’s License, Class C, is also required.
