Job Summary
The Administrative Assistant will provide high-level administrative support to the executive team or senior
management within the organization. This role requires exceptional organizational skills, attention to detail, and
the ability to handle sensitive and confidential information. The Administrative Assistant will serve as a primary
point of contact for internal and external stakeholders, managing schedules, coordinating meetings, and
ensuring efficient communication. The ideal candidate will be proactive, resourceful, and capable of
multitasking in a fast-paced environment.
The ideal candidate is nimble and flexible, enjoying a variety of administrative functions. They perform well
under pressure, adapt easily to shifting priorities, and take privacy and discretion very seriously.
Responsibilities
• Manage calendars, including scheduling appointments, meetings, and travel arrangements.
• Act as a liaison between the executive and other departments, employees, clients, and external partners.
• Prepare and edit correspondence, reports, and presentations.
• Coordinate and organize meetings, conferences, and special events, including logistics, agendas, and
materials preparation.
• Take minutes and follow up on action items from meetings.
• Conduct research and compile data for various reports and presentations.
• Prioritize and manage multiple projects simultaneously, following through on deadlines and
deliverables.
• Screen and handle incoming calls, emails, and correspondence, responding or redirecting as appropriate.
• Manage and maintain confidential files and records, always exercising discretion and confidentiality.
• Assist in the preparation and review of budgets, expense reports, and financial documentation.
• Perform general administrative tasks, such as filing, copying, scanning, and ordering office supplies.
• Develop and maintain strong relationships with internal and external stakeholders.
• Anticipate the needs of the executive team and proactively provide support and assistance.
Qualifications
• Bachelor’s degree in business administration, communications, or a related field (preferred).
• Proven experience as an Administrative Assistant, Executive Assistant, or similar administrative role.
• Excellent written and verbal communication skills.
• Strong organizational and time management abilities.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to handle sensitive information with the utmost confidentiality and professionalism.
• Strong attention to detail and accuracy.
• Exceptional interpersonal skills and the ability to work collaboratively with diverse teams.
• Proactive and resourceful problem-solving skills.
• Ability to work independently with minimal supervision.
• Flexibility to adapt to changing priorities and deadlines.
• Previous experience supporting executives or senior management is a plus.
