After School Program Coordinator

AFTER SCHOOL PROGRAM COORDINATOR
 

Summary/Objective
Magellan International School (Colegio Internacional Magallanes) in Austin, Texas, is seeking an After School Program Coordinator to lead the planning, organization, and execution of its after school programming. This role oversees all aspects of program logistics, staff management, student activities, and community partnerships. 

Essential Functions

After School Care Program Oversight

  • Develops the activity calendar and collaborates with After School Care (ASC) Guides to create weekly student activities aligned with International Baccalaureate (IB) themes
  • Recruits, hires, trains, evaluates, and onboards/offboards all ASC staff
  • Assigns students to ASC classes and maintains accurate rosters following the school policies
  • Supports students and families with any ASC related topics
  • Addresses and resolves facility issues as they arise during program hours
  • Leads camps during non-school days (e.g., fall break, spring break, professional development days)
  • Ensures compliance with safety procedures and state childcare regulations
  • Collaborates with the director to create and implement ASC policies and procedures
  • Oversees the after school program budget, including ordering supplies and managing expenditures
  • Monitors drop-in attendance and collaborates with the Accounting Department to ensure accurate billing
  • Works with the Human Resources department to approve timesheets and ensure timely, accurate payroll processing

Vendor & Enrichment Program Coordination

  • Coordinates a diverse set of after school enrichment vendors
  • Manages room scheduling, vendor communications, and student rosters for all vendor-led activities
  • Partners with the Communications and Advancement team to publish updates and announcements about after school programs
  • Tracks vendor enrollment and collaborates with the Accounting Department to process space rental charges accurately

  • Performs other duties as assigned, which may change at any time with or without notice

Required Qualifications

  • Associate's degree or higher in Education, Business, or related field
  • Minimum 2 years of experience working in a school setting
  • Staff supervision or program coordination experience
  • Experience developing and implementing curriculum or activity schedules
  • Ability to manage a team, make personnel decisions, and provide training

Preferred Qualifications

  • Bachelor's Degree from an accredited four-year college or university
  • Spanish language proficiency
  • CPR/First Aid certification or willingness to obtain it within 30 days of hire

Skills

  • Strong office skills, including typing, data entry, word processing, and file organization
  • Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar, Drive)
  • Ability to prioritize tasks and manage multiple responsibilities
  • Strong interpersonal and communication skills, both written and verbal
  • Attention to detail and the ability to maintain accurate records

Salary and Benefits

A competitive salary based on experience and a total compensation package including medical and supplemental benefits, optional 401K, and paid time off. This position provides for extensive paid leave including Thanksgiving break (1 week), Winter break (2 weeks), Summer leave (6 weeks), and 80 hours of Paid Time Off (PTO). This equals up to 11 weeks of paid leave during the year.


Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. It requires lifting, bending, standing, and stooping. This job operates indoors and outdoors with children.  

Position Type and Expected Hours of Work:

Full-time, Monday through Friday. Core hours: 10:00 a.m. – 6:00 p.m. (schedule may vary based on program needs). Occasional evening and weekend work is required.

Additional Eligibility Qualifications

A criminal history background check will be required for finalist(s) under consideration for this position.

 

Work Authorization/Security Clearance
If hired, you will be required to complete the federal Employment Eligibility Verification form, I-9. You will be required to present acceptable and original documents to prove your identity and authorization to work in the United States. Documents need to be presented no later than the third day of employment. Failure to do so will result in loss of employment at the school.
