About the Position
The Business Manager is primarily responsible over the business functions of the local education agency. Responsibilities include, but not limited to the following core areas of the business operations: Local/State/Federal Compliance, Accounting/Procurement, Out of School Time, Operations and Logistics, IT Support Management and other operational duties assigned. This position will work from 9:45am - 6pm and supervise a team of contractors and school staff. This position will report directly to the Chief Operating Officer.
Primary responsibilities include:
Operations Support
- Support the on-boarding of new staff with IT hardware, supplies and school paraphernalia.
- Support the Operations Coordinator with arrival and dismissal procedures as well as serve as a back up to Operations Coordinator
- Supports various committees with coordination of set-up and logistical support that may require assistance from other departments
- Serves as the point of contact for all external substitute companies; ensure substitute coverage is arranged for classrooms and office support
- Ensures the field trip process is followed through to ensure all items are booked and paid for prior to trip
- Serve as the daily contact and support to School Health Services and Nursing Services
- Manage the school store with apparel sales and inventory management
- Provide support to any additional duties for the Operations of the School as requested by the Chief of Operations
Accounts Receivable and Payable
- Own procurement and purchasing for both campuses. Work with school leaders to understand needs, place order, inventory items received, handle return/exchanges, etc.
- Review and verify invoices for all school purchases
- Create purchase orders for purchases made by various departments
- Review and reconcile monthly financial reports such as credit card statements, bank deposits and staff reimbursements
- Manage all supplies coming into the school to ensure everything is accounted for
- Make weekly bank deposits to local bank
Out of School Time Programs
- Manage and ensure adherence to all grant related funding requirements and reporting (if applicable).
- Supervise extra duty staff for out of school time program
- Coordinate meetings with Out of School Time providers and other community partners
- Conduct and manage audits as required and directed by supervisor and/or funding source
- Provide oversight of the Out of School Time budget and adhere to policies and practices for receipt of these services, including monitoring service and accounting
- Administrative Support and Compliance Management
- Monitor District of Columbia, Office of State Superintendent of Education, and Federal regulations and DC Public Charter School board compliance areas for the school
- Review and submit compliance documents to entities related to finance and operations in a timely manner to ensure deadlines are met and compliance is maintained
- Recommend improvements to stay compliant with charter school regulations and policies
- Maintain electronic and hard copy operations documents such as contracts; submit contracts as needed in compliance with PCSB requirements
- Support Business Operation team members with various administrative duties as requested
- Support school opening and closing procedures for each school year
- Support the front desk with coverage on an as-needed basis for both campuses
- Support with AOM procedures as needed for both campuses
Information Technology
- Serve as the first point of contact for the day to day technology operations along with the contracted provider
- With support and guidance from the COO, support and adhere to all IT policies and procedures
- Work with IT related service providers as needed
- Provide school level management of telecommunications and IT equipment and related services
Qualifications
- Bachelor’s degree, preferably in Business, Finance or Accounting or Minimum of five years of experience working in a non- profit organization in Operations/Business Administration or Finance
- Bi-Lingual in Spanish (speaking/writing) is a plus, but not required
- Medication Administration training must be completed within 6 months of employment

Salary and Benefits
A recent TNTP Insight Survey of our teachers placed our staff’s satisfaction with compensation in the top quartile of all charter schools in DC. The salary range range for this role is $75,000-$85,000.
