Logistics Coordinator

Purpose: The Purpose of this role is to support AIS’s purpose of providing technology that works for our clients and revolutionizes their business while providing service they’ll fall in love with.
Major Goals:
- Plan and coordinate a variety of logistics functions including deliveries and pickups, labor needs, and installs.
- Verify inventory availability and resource allocation.
- Maintain accurate and up-to-date records and various documents regarding deliveries, onboarding activities, etc.
Job Functions: The Logistics Coordinator role is to verify inventory availability, schedule Config/Setup, contact customers, and Dispatch Track management.
Main responsibilities of this role include, but not limited to:
- Schedule equipment delivery, installation, and other necessary services for customers.
- Develop and maintain a master schedule for customer scheduling.
- Consider factors such as inventory availability, allocation, resource availability, customer preferences, and operational constraints.
- Identify potential scheduling conflicts or issues and proactively address them to minimize disruptions and ensure a smooth onboarding process.
- Regularly communicate with customers, sales reps, and installation team to coordinate and confirm installation activities.
- Ensure that all involved are informed of the schedule, requirements, and expectations.
- Coordinate with internal teams to allocate appropriate resources (e.g., technicians, trainers, installers) based on the specific needs and requirements of each customer.
- Maintain accurate and up-to-date records of scheduled onboarding activities, including relevant customer information, dates, and details of services provided.
- Work closely with internal teams to gather information, provide updates on scheduling status, and ensure all parties are aligned throughout the onboarding process.
- Other duties as assigned.
Knowledge and Skills:
- Previous experience in a scheduling or coordination role is preferred, ideally within the copier industry or a related field.
- Experience in customer service or account management is also valuable.
- Excellent organizational and time management skills.
- Excellent verbal and written communication skills.
- Strong problem-solving and critical-thinking abilities.
- Ability to adapt quickly while maintaining a high level of professionalism.
- Basic technical understanding and familiarity with copier equipment and related software.
- Proficiency in using computer systems and software applications for scheduling and documentation purposes.
