To help us achieve our growth goals, we’re seeking an Events Operations Associate with a strong focus on organization and attention to detail to support the preparation and execution of our premier live and virtual events.
In this role, you’ll contribute to the full lifecycle of event production — from day-to-day operations to strategic initiatives — managing logistics, liaising with vendors and partners, supporting technology needs, and ensuring a seamless experience for attendees, speakers, and sponsors. You’ll work closely with event leadership to ensure every detail is flawlessly executed, whether it's a small task behind the scenes or a high-impact production moment.

Key Responsibilities
Event Operations & Logistics
- Support pre-event planning, onsite execution, and post-event wrap-up for both in-person and virtual events under the guidance of Event Team leaders.
- Responsibilities can include: managing and assisting with attendee experience, food and beverage coordination, hotel and venue logistics (including contracting and space utilization), vendor relations, setup and teardown logistics, budget tracking, marketing collateral, AV requirements, mobile app integration, and event registration systems.
- Serve as a key technical subject matter expert during events, troubleshooting mobile app, registration software, and AV needs.
- Coordinate signage, branding, and marketing collateral in collaboration with creative teams and external vendors before and during the events. Ensuring properly executing client orders.
- Create, organize and maintain production timelines, run-of-show documents, and event checklists.
- Manage third-party vendors to ensure consistency in their delivery of service for our business needs.
- Lead logistics for virtual events including platform setup, speaker prep, and live execution.
- Oversee shipping and receiving of event materials, merchandise, and equipment.
Cross-Functional Collaboration
- Work closely with sales, client success, editorial, and data teams to ensure events meet strategic goals and deliverables.
- Maintain ongoing communication with stakeholders to ensure all operational needs are organized, aligned and properly executed.
- Provide support for client activations, partner deliverables, and special sponsor requests.

Qualifications
- Exceptional organizational and project management skills.
- Comfortable with technology (e.g., event registration software, mobile apps, spreadsheets)
- Excellent communication and interpersonal skills.
- Demonstrated ability to multitask and thrive in deadline-driven environments.
- Bachelor's degree in communications, marketing, hospitality, or related field preferred.

Yearly Salary Range: $65,000-$80,000
