We are passionate about delivering creative, client-centered solutions and are seeking a detail-oriented and proactive Marketing Proposal Coordinator to join our growing team.

Position Overview:

The Marketing Proposal Coordinator plays a critical role in the firm’s pursuit of new business by managing and developing responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other marketing deliverables. This role requires excellent writing, editing, and project management skills. The ideal candidate will act as the central point of contact for proposal efforts, drive collaboration across departments, and ensure that all submissions are accurate, compelling, and compliant with client requirements.

Key Responsibilities:

 

  • Serve as the primary point of contact for all proposal efforts.
  • Direct proposal kick-off and debrief meetings, as well as prepare detailed proposal plans, schedules, outlines, and compliance matrixes for all phases of the development process
  • Solicit management input and reviews to ensure content accuracy and alignment with strategic goals.
  • Produce high-quality proposals, qualifications packages, and presentations tailored to RFP/RFQ requirements.
  • Monitor the development of all proposal content to ensure clarity, consistency, and compliance.
  • Format, proofread, and finalize all deliverables in line with brand standards.
  • Monitor procurement sites and portals to track upcoming opportunities.
  • Manage a centralized bid schedule and support bid/no-bid decisions.
  • Research industry trends and client needs to inform messaging and targeting strategies.
  • Maintain and update the proposal content library, including staff resumes, project descriptions, case studies, and boilerplate text.
  • Collaborate with technical and leadership teams to translate complex engineering and commissioning topics into client-friendly language.
  • Assist with creating marketing collaterals such as brochures, email campaigns, awards submissions, and digital content.
  • Support social media, branding, and communications efforts in coordination with the broader market

 

 

Qualifications:

  • Bachelor’s degree in marketing, Communications, English, Journalism, or a related field.
  • Minimum of 1 year of experience in proposal coordination, preferably in AEC, energy consulting, commissioning, or related professional services.
  • Strong writing, editing, organizational, and project management skills.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Experience using Canva or similar tools for layout/design.
  • Ability to manage multiple projects simultaneously under tight deadlines.
  • Strong interpersonal skills and ability to collaborate across teams.

Preferred Qualifications:

  • Familiarity with CRM or project tracking tools (e.g., Monday.com).
  • Experience responding to public sector, municipal, or private industry RFPs/RFQ
