About Us: 3Below Theaters (located just one block from SJSU across from The Grad) is a family-owned and operated independent theater committed to bringing the best in cinema, live events, and community experiences to our guests. We are passionate about entertainment, storytelling, and creating a welcoming space for all.
Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our theater with a focus on box office duties and creating/publishing social media posts. This individual will assist with scheduling, communications, record-keeping, and coordination across departments to help ensure a smooth and enjoyable experience for guests and staff.
Key Responsibilities:
Box Office & Patron Experience
- Provide customer service for events, selling tickets and providing patrons with information
- Respond to emails, phone calls, and in-person inquiries in a professional and friendly manner
- Monitor and respond to online reviews (Google, Yelp, Facebook)
- Compile post-event feedback surveys and summarize responses for programming or marketing teams
- Send thank you notes to past patrons
- Assist with group sales inquiries (schools, organizations, special events)
Communications & Marketing
- Support marketing and promotional efforts, including email newsletters and social media scheduling
- Take pictures at events and create social media posts
- Manage press list updates and media contacts, especially around special series or campaigns.
Admin & Operations
- Provide administrative support to theater management and department heads
- Maintain and organize digital and physical files, including vendor contracts, schedules, and reports
- Support theater events, screenings, and special programs as needed
- Assist with volunteer coordination (sign-ups, orientation materials, night-of assignments)
- Track office supplies and place orders as needed
Community & Outreach
- Coordinate audience giveaways or sponsor activations during special screenings.
- Assist with loyalty or membership programs (tracking benefits, updating databases).
Qualifications:
- Proven experience in an administrative or office support role
- Excellent organizational and time-management skills
- Strong communication and interpersonal abilities
- Proficiency in Google Workspace
- Familiarity with theater operations, ticketing systems, or film exhibition a plus
- Ability to multitask in a fast-paced, customer-focused environment
- Enthusiastic about movies and the arts
Work Environment:
This position is based on-site at the theater located at 288 S Second St; free validated parking; near light rail station.
Schedule:
Marketing and Guest Services Assistant will be scheduled to work during event hours which are typically afternoons, late afternoons, and/or evenings. They are approved to work up to 40 hours. Here is a typical event week schedule:
- Mondays OFF
- Tuesdays 4:00pm-9:00pm
- Wednesdays 12:00pm-9:00pm
- Thursdays 2:00pm-9:00pm
- Fridays 2:30pm-8:30pm
- Saturdays 12:00pm-9:00pm
- Sundays 12:00pm-8:00pm
